The City of Syracuse Mayor's Office is seeking qualified applicants for the position of Constituent Services Coordinator.
DISTINGUISHING FEATURES OF THE CLASS:
The responsibilities of this position include:
- Effectively scope, plan, manage and deliver special projects related to Cityline operations, constituent services operations or any other special project prioritized by the Mayor’s Office in consultation with the Cityline Coordinator, Senior Executive Assistant and/or Chief Operating Officer.
Project management and administrative duties include, but are not limited to:
Planning, organizing, and directing operations related to special projects
Identifying, preparing, and pitching new project ideas. Draft and maintain Project Management documents relevant to project needs
Engage and manage internal and external stakeholders for each project
Measure, evaluate and document each project’s impact
Report project progress and success to the Chief Operating Officer and Senior Executive Assistant at all appropriate project milestones
- Respond to incoming calls and correspondence, including the composition of emails and letters in response from the Office of the Mayor
- Obtain and explain relevant information needed to provide timely and exceptional constituent service
- Manage systems for tracking constituent service issues and coordinating responses with relevant staff
- Lead and/or support constituent-facing initiatives from the Office of the Mayor (i.e. Adopt-A-Block and Neighborhood Power Walks)
- Assist Cityline with answering incoming phone calls on an as-needed basis
KNOWLEDGES, SKILLS, AND ABILITIES:
· Strong communication skills, especially for written correspondence and on the phone
· Strong organizational skills
· Able to coordinate responses from various staff and departments
· Able to address controversial issues and maintain discretion
· Able to work independently in a fast-paced environment
MINIMUM QUALIFICATIONS:
A. Graduation with an Associate’s Degree or higher from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees, or;
B. Two (2) years of work experience, or its part-time equivalent, assisting in the administration of a program or agency, preferably municipal;
C. Two (2) years of clerical work experience or its part-time equivalent, in other than an entry level clerical position.
