Job Title: Customer Service and Accounts Payable Clerk
Department/Division: Finance
Reports To: City Treasurer
FLSA Status: Non-Exempt
Pay Grade: AD-2/3; Annual Pay Range $46,594.88 to $51,757.61
General Description of the Position: This position is responsible for daily office duties required by the Finance Department. Responsibilities include answering phone calls, assisting customers in person and by phone, taking payments for court and utility customers, assisting on court nights and processing accounts payable.
Summary of Essential Duties
- Serve as receptionist for the Finance Department.
- Assist customers at the counter and by phone.
- Assist with daily check-out, prepare deposits.
- Assist on court nights.
- Issue purchase orders, pay invoices and maintain accounting records, including W-9’s.
- Performs a variety of clerical duties including research, filing computer documents, composing and typing necessary correspondence.
- Notarizes signatures on official documents.
- Prepares records for audit by independent auditors.
- Performs other duties as assigned.
Minimum Qualifications
- High School graduate or approved equivalent.
- Knowledge of office practices, procedures and operations.
- Ability to plan and coordinate multiple tasks and activities and to effectively complete tasks.
- Ability to understand and follow oral and written instructions and follow through with responsibilities.
- Must be self-motivated and able to complete tasks with little supervision.
- Ability to work and maintain records and information in a confidential atmosphere.
- Knowledge of customer service skills and proper public and telephone etiquette.
- Ability to file numerically and/or alphabetically and transfer information accurately.
- Ability to exercise good judgment in stressful situations.
- Ability to read, analyze, and understand complex documents, including municipal codes.
- Ability to communicate effectively both orally and in writing.
- Must be able to establish and maintain effective working relationships with other employees and the public.
- Ability to use a computer, Microsoft Word, Excel, various software, copiers and other office equipment.
- Ability to handle cash and make change.
- Must be bondable.
- Previous office experience and accounts payable experience preferred
Working Conditions and Physical Requirements
- Primarily indoors, subject to sitting, standing, walking, climbing or descending stairs, and using a telephone for extended periods of time.
- Must be available to work nights for court when needed.
- Ability to work in close proximity to others and able to handle frequent interruptions.
- Some stress from activity levels and the nature of the job duties.
- High degree of concentration required to fulfill essential job duties.
- Some exposure to unpleasant citizens; must be able to handle tactfully.
- Ability to pull, push, or lift and carry a minimum of 25 pounds of weight.
- Required to use hands and fingers to operate office equipment and type.
- Hearing and speech required to communicate clearly and distinctly in English in person and over the phone.
- Adequate eyesight to read computer screens and perform detailed work.
- Must present a professional appearance.
