Under general supervision of the Finance Manager, the Finance Accounting Assistant processes accounts payable, maintains property accounting records, assigns asset numbers and maintains records of the cost of work in process, processes and tracks purchase orders, maintains inventory systems. The classification performs a variety of other administrative duties in support of Purchasing Administrator.

ESSENTIAL FUNCTIONS: For purposes of 42 USC 12101:
Processes invoices for goods and services purchased to ensure that bills are paid accurately and in a timely matter; tracks invoices that have not been returned from other departments; follows up on processing of all invoices; prepares and maintains related reports; files information according to established procedures.
Maintains property accounting records, assigns asset numbers and maintains cost records of work in process; reviews checks issued to ensure purchased assets are accounted for; maintains additions, deletions, and transfers of assets; updates assets that are depreciable and non-depreciable; conducts physical inventory; assists in preparation and execution of city auction; prepares accounting spreadsheet for information needed by Director for exhibits in the comprehensive annual financial reports; gathers and compiles information to update statistical tables for the comprehensive annual financial report.
Tracks all retainage for which the City is responsible for withholding in construction projects; maintains information on all City vehicles; obtains titles and plates for City vehicles and distributes; tracks fuel cost, administrative cost, and any other cost associated with the operation of the vehicles, generates related reports.
Completes credit applications and exempt forms; reviews contracts for divisibility and resets when necessary.
Provides other general administrative support (e.g., answers phones, types correspondence, schedules appointments); performs customer service to general public; maintains central supply room inventory; monitors and stocks supplies; orders, distributes, and tracks cell phones).
Maintains licenses and certifications as required, if any.
Demonstrates regular and predictable attendance.
Meets all job safety requirements and all applicable safety standards that pertain to essential functions.
OTHER DUTIES AND RESPONSIBILITIES:

One (1) year certificate from an accredited college or technical school and one (1) to two (2) years of progressively responsible related experience; or any combination of training, education, or experience which provides the desired knowledge, skills, and abilities to perform the essential functions of the position.
LICENSURE OR CERTIFICATION REQUIREMENTS:
Valid State of Ohio Driver’s License and the ability to maintain insurability under the City’s vehicle insurance policy

Note: In accordance with the U.S. Department of Labor physical demands strength ratings, this is considered sedentary work.
