We’re currently recruiting for a Police Records Supervisor. Under the direction of the Unit Commander, plan and evaluate workload for the quantity and quality of the daily operations to accommodate work fluctuations and changes. Coordinate staff schedules and training, monitor work accomplishments, take corrective actions and evaluate employee performance. Review and recommend process improvements and prepare operations procedures. Interpret and use judgment in application of the state and federal guidelines. Compile, review, and submit data statistics in accordance with the local, state, and federal regulations.

Work Schedule: Shift assignments include day, swing and graveyard shifts.
Job Details
Essential Functions:
  • Supervise, plan, and coordinate activities of employees to maintain successful operation to include review of processes for efficiencies. Analyze operating procedures to devise most efficient methods, gather data and consider all available solutions.
  • Review, audit, and submit monthly statistical records in compliance with the state and federal governments.
  • Respond to inquiries for information, questions or complaints from various City departments to include other local, state and federal agencies.
  • Analyze and use judgment in troubleshooting concerns or issues for employees. Provide advice and direction with appropriate actions.
  • Coordinate, review, and approve records requests in compliance with the Public Records Act.
  • Evaluate employee’s performance, prepare performance improvement plans, develop training plans, and complete employees probationary and early evaluations.
  • Assist with evaluation of staffing retention, recruitment, hiring, and training needs.
  • Review and approve employee leave requests and overtime needs to assure adequate coverage.
  • Collect, record and balance Police records related monetary transactions.
  • Perform other duties and responsibilities as assigned.
Experience and Education
Experience:
Four (4) years of supervisory experience. Police records experience preferred.
Education:
Equivalent to a HS Diploma/GED
Equivalent combinations of education and experience may be considered.
Required Licenses and/or Certifications
Ability to obtain:
A Central Computerized Enforcement Service System (ACCESS) Level 2 certification within 6 months of employment.
40-hour Field Training Officer (FTO) Academy within one year of employment.
Knowledge:
  • Unique problem-solving skills based on the outlined guidelines, processes and procedures
  • Legal definitions and terminology
  • Standard record maintenance in compliance with the local, state, and federal guidelines
  • Planning, developing, and coordinating daily operations
  • Policies, procedures and practices working with labor union groups
  • Intermediate understanding of software operations
  • Pertinent federal, state and local laws that pertain to: Public Records Act, possession of firearms, records retention, and various court orders
  • Modern office procedures, methods and computer equipment
  • Use of personal computers and basic software

  • Works in safe and responsible manner; not putting self or others at risk. Complies with applicable policies and procedures including but not limited to using personal protective equipment, observing warning signs, learning about potential hazards, and reporting all unsafe conditions.
  • Responsible for ensuring a safe workplace in compliance with applicable policies, procedures and regulations. Ensures supervised employee review of the City Core Accident Prevention Plan, relevant safety policies and procedures, and training on illness and injury response and specific job-related safety concerns. Reports and appropriately escalates all safety issues and all injuries.
Qualifications
Selection Process:

Application Review: Candidates will be evaluated based on the content of their application and those deemed most qualified will be invited to participate in the remainder of the selection process.

Practical Exam (Pass/Fail): This recruitment may require a practical exam which will be job related and may include, but not limited to, the qualifications outlined in the job announcement.

Oral Interview (Pass/Fail based on 70%): Questions will be job related and may include but not limited to, the qualifications outlined in the job announcement. Minimum passing score of 70% is required. The oral board will consist of a three (3) to five (5) member interview panel who will ask the same position-related, pre-established written questions of all candidates. The panelists' evaluations will be combined resulting in candidate interview scores. Those passing with a 70% or higher will be placed on an eligibility list.

Final Interview: As positions become available up to the top three candidates from the eligibility list will be invited to participate in a final selection interview.
This position is subject to successful completion of a comprehensive Vancouver Police background investigation.
