The Account Clerk Supervisor position provides oversight to the accounting/financial functions of the Virginia Beach Convention Center to include ticketing, box office reconciliation, accounts receivable (event invoicing), payroll, taxes, contractor commission reconciliation and overdue account collection. *This position requires the ability to work a varied schedule on an “as needed basis” that may include days, nights, weekends and holidays.
Perform complex clerical and responsible technical work supervising the processing, maintenance, and control of clerical accounting records and documents; does related work as require including the box office, retail center, invoicing and exhibitor services.
The position is a leadership role on a team and provides the highest level of customer service to both internal and external customers while responding to last minute event changes. Candidate will have the ability to resolve customer complaints with tact.
This position ensures the accurate coordination of event information with promoters, facility and outside contractors. Analyzes and prepares detailed Box Office information for time critical event settlement.
This position provides management to the operation and maintenance of the onsite computerized ticketing system. Assists in evaluation and management of financial and ticketing control systems.
In a fast paced environment, this position provides oversight to various cash funds and daily bank deposits for timely revenue reporting in strict accordance of established accounting procedures.
This position ensures proper financial and cash handling procedures are followed while maximizing revenue in exhibitor services and retail operations.
This position provides support to the Business Manager in preparing and auditing complex financial and statistical reports using an event business management system, Oracle Financial Cloud and Etix software.
This position hires, coaches and provides written performance goals for convention center account clerk staff including part-time Ticket Sellers.
Supervision
Hire, train, schedule and implement disciplinary action
Prepare staff performance feedback (evaluations)
Delegate staff duties and special projects
Supervise and audit staff cash handling, internal controls, record keeping, and data entry
System/Database Maintenance
Programming for POS, credit card terminal and web sales
Resolve programming related errors for POS, ticketing and credit card equipment
Business Center/Retail Operations
Provide operational support to internal staff
Purchase retail items and maintain inventory
Measure overall productivity of retail area and provide suggestions to expand offerings
Maintain proper bookkeeping standards
Secure and audit change fund
Prepare and submit journal transfers electronically
Events
Obtain event information from promoters and distribute
Audit and analyze ticket sales automated system
Prepare customer invoices in USI/EBMS Database
Accounts Receivables
Maintain accounts receivable ledgers, checkbooks and accounts
Review aging receivables weekly and notify clients/staff of overdue invoices
Work with City Treasurer’s Office regarding delinquent invoices
Sales and Use Tax
Reconcile and prepare monthly sales and use tax reports
Enter information into Virginia Department of Taxation electronically
Commissions
Reconcile and process monthly commission statements from current contractors
SPECIAL REQUIREMENTS:
Alpha I Designation
Flexible schedule including days, nights, weekends and holidays with an emphasis on weekdays.
Must complete and pass Trained Crowd Manager program approved by the Convention Center within two months of hire and maintain certification.
Must complete FA/CPR/AED training within four months of hire date and maintain certification.

Minimum Requirements:
MINIMUMS:
Requires high school or GED plus five (5) years experience in fields utilizing the knowledge, skills, and abilities listed above in a field such as clerical accounting; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
SPECIAL REQUIREMENTS:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferences:
- Two years of supervisory experience
- Two years cash handling experience
- The ideal candidate will have related experience in a public/face to face setting to include ticket sales, financial reconciliation, accounts receivable, etc.
- In addition, candidate will have exceptional verbal/written communication skills; ability to coordinate and prioritize multiple work assignments with attention to detail and handle occasional periods of pressure/deadlines while being proficient with Microsoft Office Suite, financial and Point of Sale Systems, and onsite/internet ticketing systems.

- Cash handling experience
- Experience with a financial database
- Experience compiling and analyzing statistical data for reports
- Ability to think and problem solve independently
- Commitment to quality customer service and experience with face-to-face customer service
