What are the responsibilities and job description for the Legal Docket Clerk I position at City of Virginia Beach?
The Office of the Commonwealth's Attorney is responsible for prosecuting those charged with violating the criminal laws of Virginia in Virginia Beach. We are seeking a Legal Docket Clerk to perform associated duties, such as: generate and maintain dockets to ensure that the courts, City Attorney’s Office or the Commonwealth’s Attorney’s Office are aware of all pending legal actions; open and maintain files in a timely manner; proficiently schedule cases while monitoring caseload of each docket; prepare reports requiring research, coordination, and compilation of data for policy recommendations; ensure quality customer service by providing information where a general knowledge of personnel, organization, and established practices are involved; coordinate Grand Jury to ensure all indictments are presented; coordinate misdemeanor appeals; provide testimony in court as required; effectively and diplomatically communicate orally and in writing; act as the liaison to support elements of the courts and other criminal justice and judicial agencies to ensure efficiency; maintain case files; prepare correspondence; prepare court orders at the request of an attorney or on own initiative; enter and update database to reflect accurate docket information; promptly and with tactfulness handle complaints and requests for service or information; adhere to all policies and procedures of office, criminal justice and judicial agencies; demonstrate clear understanding of organization mission by setting effective goals.
To be a successful candidate in this position, you must be able to manage multiple tasks, organize detailed information, and understand and follow complex instructions. We also desire candidates who are self-motivated, detail-oriented, works well under pressure and meet deadlines. The candidates must be able to work independently and as part of a team. Lastly, the selected candidates should be able to sit and operate a computer terminal for up to 6 hours each day and lift boxes weighing up to 50 pounds.
The preferences for this position include:
- Professional experience with a Virginia Court or Commonwealth’s Attorney Office
- Prior professional experience in the criminal justice field
- Experience running criminal records – NCIC/VCIN Certification preferred; Data Entry experience
- Familiar with databases and case management systems (i.e., CMS (Court Management System), Axon Records, PISTOL or eProsecutor/JTI)
- Professional Courtroom Experience
- Experience with preparing court dockets
- Experience performing clerical work (i.e., answering phones and transferring calls; processing incoming paperwork
