What are the responsibilities and job description for the Office Assistant II position at City of Virginia Beach?
The Department of Public Utilities provides quality water and sanitary sewer services to Virginia Beach residents. Be a part of our diverse and dedicated workforce who provide these essential services. We are currently hiring for the position of Office Assistant II with our Operations Division.
Requirements for Public Utilities, Operations & Maintenance:
All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Positions within this class have been designated as Alpha I positions requiring employees to work during inclement weather, regardless of the City’s operational status. Specific requirements will be determined and communicated by the employee's supervisor based on position.
Duties & expectations for this position include:
- Provide general administrative support to the Operations Division of Public Utilities
- Answer incoming citizen inquiries, by phone, in person, and online
- Create service requests in the Hansen Work Order Management System and dispatch calls to the field crews via Service Link (electronic dispatch), radio, and phone
- Prepare Miss Utility excavation marking tickets
- May enter workman’s compensation/injury reports into third party database
- Type letters, memorandums, and other materials for Public Shutdown Notices, etc.
- May gather information for FOIA requests; track and submit responses in timely manner
- Prepare or maintain various spreadsheets for reporting and tracking purposes
- Assist with front office records management. Ensure lifecycles of records are maintained, comply with the requirements from the Virginia Public Records Act and the Freedom of Information Act, and utilize Laserfiche for electronic storage management
- Assist with confidential personnel record filing as needed
- Assists other Front Office and Administrative staff when necessary
- Must be able to pass a typing test with a score of 30 WPM or higher
- Positions within this class have been designated as Alpha I positions requiring employees to work during inclement weather, regardless of the City’s operation status
- Performs other job duties as determined by the supervisor based on workload and department needs
