What are the responsibilities and job description for the Sports Event Services Manager #44113 position at City of Virginia Beach?
The successful candidate for this position will plan, direct, supervise and implement event services strategies for large scale participatory sporting events ranging from 50-30,000 participants while delivering the highest quality customer service and client experience.
As an Event Coordinator you will :
- Be responsible for all management duties associated with event production including timeline development, operations plan development, event execution, utilization of in-house CRM, post event evaluations, etc.
- Acts as liaison between Virginia Beach Sports Tourism and the client’s expectations
- Experience with event budget development, fiscal management, procurement of event-related services and supplies as well as detailed understanding of floor plan/event site development and venue relationship development
- Organize and prioritize meeting deadlines
- As a sales organization, must have a general understanding of the sales process
- Participate in client development functions such as event operation meetings, site visits and familiarization tours.
- Generate accurate, detailed reports, event calendars and other documentation
- Work as part of a team to ensure overall unit goals and objectives are achieved
- Occasionally overnight travel for the purposes of event development, industry education and other duties as assigned
- Work nights, weekends and/or holidays more than normally scheduled hours to meet operational needs
- Implementation and oversight of the Sports Tourism Grant Program; maintenance of grant distribution list; communication with grant applicants and committee members; website management; schedule and lead grant review committee meetings; management of the allocation of grant budget; initiate post event reports, review requirements were met in agreement prior to processing payment
- Monitor, track and code expenditures and manage financial accounts to keep unit within prescribed budgetary guidelines; advise manager of projected overages/shortages and recommend corrective action to remain within budgetary constraints.
- Manages divisions' procurement and invoice processes and serve as the divisions’ purchasing card reconciler.
- Strong written, oral, and analytical communication skills will be required in the form of narratives, Power Point presentations, Excel and generate financial, statistical and performance reporting.
- Detail oriented is crucial; must be organized and able to multitask, self-starter, details in all reports are accurate and presented professionally
- Maintains the CRM (Simpleview) tracking all information for new and existing events, and service needs; Build accounts, leads, and profiles, track partnership overviews, facility agreements, athlete/spectator numbers, and room nights.
