SUMMARY - Incumbent serves as Records Clerk for the Warsaw Police Department, responsible for answering phones, greeting visitors, preparing and entering data into computer and maintaining assigned department records.

ESSENTIAL FUNCTIONS - Answers telephone and greet office visitors, including determining nature of call/visit, receiving/providing information, and taking messages, transferring/directing to appropriate individual or department and entering on appropriate logs, and communicates with Central Dispatch as needed. Performs various clerical functions, such as typing, copying and filing various documents as assigned, processing incoming and outgoing mail, and maintaining organized files, ensuring convenient retrieval. Composes correspondence, in responding to routine inquiries. Files a wide variety of documents and reports, preparing file folders as needed, and purges obsolete records / files according to department guidelines. Receives and files dispositions from courts. Retrieves and copies/prints records for the public and department personnel as requested, such as completing background checks, copying reports / documents, and responding to mailed requests. Collects and processes various fees, such as for report copies, gun permits, and parking tickets, including receiving monies, entering on computer, printing and providing receipts, and filing copies. Reconciles collections with receipts and prepared and makes bank deposit daily. Prepares and processes department payroll, including calculating and recording hours worked, overtime, and leave time, completing forms, and routing to appropriate personnel. Performs related duties as assigned which may include a variety of administrative duties for other divisions at the department including assisting with department Quarter-Master system and assigned inventory or equipment, preparation of training and travel requests, secures lodging and transportation when required, itemizes receipts checking for accuracy, and forwarding for signatures. Maintains staff required training logs, assists in administering preparing various reports as assigned by entering data on computer, assembling documents, and preparing, printing and copying reports. Performs related duties as assigned.

SKILLS/KNOWLEDGES – High school diploma or GED, with a minimum of three (3) years of related clerical experience and a minimum of one (1) year of bookkeeping experience, or equivalent combination of education and experience. The probability of working with highly sensitive and confidential information is extremely likely and the ability to maintain the confidentiality is required at all times. Ability to provide public access to, or maintain confidentiality of department information and records, according to federal/state/local laws, the department and city policy. Working knowledge of department policies and procedures and standard office practices, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations. Working knowledge of standard bookkeeping principles and ability to make simple arithmetic calculations, prepare and process related documents, and maintain accurate records. Working knowledge of Standard English grammar, spelling and punctuation, and prepare statistical data, accounting tabulations, financial reports and records as required. Ability to maintain personal composure and tact during difficult situations. Ability to effectively communicate orally and in writing with co-workers, other city departments and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities. Ability to type with speed and accuracy, and operate various office equipment, including computer, printer, typewriter, copier, fax machine, calculator and telephone. Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions. Ability to work alone and with others in a team environment, ability to occasionally work extended evening and weekend hours. Ability to comply with all employer and department policies and work rules, including but not limited to attendance, safety, and apply OSHA safety regulations applicable to work performed, drug-free workplace, and personal conduct. Possession of a valid Indiana Driver’s License and demonstrated safe driving record.

Job Type: Full-time

Pay: $18.00 - $21.00 per hour
