Part-time temporary assignment lasting two months, 19 hours or less per week. Monday - Friday 12:00pm -3:45pm
Under the general direction of the Assistant Public Works Director, this position provides administrative and customer service support to the Public Works department and the Development Services division. Key responsibilities include assisting with permit processing, maintaining records, handling communications, and providing clerical support to department personnel, including Permit Technicians. The role requires strong organizational skills, attention to detail, and the ability to interact professionally with residents, contractors, and City employees.
- Serve as the first point of contact, greeting visitors and directing them to the appropriate staff or department.
- Answer, screen, and route phone calls and emails professionally and efficiently.
- Provide excellent customer service while maintaining effective working relationships with employees and the public.
- Maintains filing systems, both electronic and physical, ensuring documents are organized and accessible.
- Prepare and process documentation for scanning and records retention
- Assists in preparing reports using Microsoft Office applications.
- Utilizes Microsoft Outlook for email communications.
- Maintains records and processes documentation related to departmental activities.
- Assists with processing invoices.
- Support departmental projects and assists in ensuring timely completion.
- Collect, sort, and distribute incoming and outgoing mail, including deliveries to City facilities or designated mail drop off locations.
- Perform general office tasks, providing administrative support to Public Works staff.
- Handle special projects or other duties as assigned.

Scope of Supervision
Works under the supervision of the Assistant Public Works Director
Education or Training: High School Diploma or GED.
One (1) year of experience working in an administrative role.
Possess a valid Texas Driver's License.
Any work-related experience resulting in acceptable proficiency levels in the above Minimum Qualifications is an acceptable substitute for the above-specified education and experience requirements.
- Knowledge of general office procedures and administrative practices.
- Knowledge of office equipment, including copiers, scanners, and phone systems.
- Skilled and proficient in MS Word, Excel, and Outlook
- Skill in handling multiple tasks, planning, and prioritizing.
- Skilled in oral and written communication.
- Skilled in providing exceptional customer service in person, by email, and by telephone.
- Ability to communicate effectively both verbally and in writing.
- Ability to establish and maintain effective working relationships with supervisors, co-workers, vendors, and the general public.
- Ability to maintain confidentiality and handle sensitive information with discretion.

Work Environment
While performing the duties of this job, the employee is frequently required to sit; use hands to handle or feel; and talk and hear. The employee is occasionally required to stand; walk; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.
