The Administrative Assistant I or II provides high-level administrative support to the department director and the department. This position is responsible for complex clerical, financial, and supportive duties, serving as a key liaison between the department, other city offices, and the public. The Assistant plays a crucial role in ensuring the efficient operation of the department, handling sensitive information, and supporting various department processes.
- Provide comprehensive administrative support to the director, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Serve as the first point of contact for the department, answering inquiries from the public, developers, and other city departments.
- Prepare, proofread, and distribute correspondence, reports, and other documents, ensuring accuracy and adherence to departmental standards.
- Assist in the compilation and preparation of various reports, including monthly building inspection and planning activity reports.
- Coordinate the publication of legal notices and ensure timely distribution of public hearing notifications.
- Manage the preparation and distribution of agenda packets, minutes, and other materials for meetings.
- Process and track building permits, zoning applications, and other development-related documents.
- Maintain detailed records and filing systems, both physical and digital, ensuring easy retrieval of information.
- Manage timesheet reporting, personnel files, and all training requirements.
- Assist in the preparation and monitoring of the departmental budget, including processing invoices, creates purchase order, manages purchase cards, tracking of payments and expenses.
- Manage department office supplies; orders and maintains inventory supply.
- Assist in the department's web page content, ensuring up-to-date and accurate information.
Qualifications
• Must have high school diploma or GED. Associate or bachelor’s degree is preferred. • Minimum of two years of progressively responsible administrative experience. • Proficiency in Microsoft Office suite and use of AI is preferable. • Knowledge of development terminology and processes is highly desirable. • Bilingual skills a plus. • Must have valid Texas Class C Driver's License.
