Job Description
THE CITY OF YUCAIPA IS NOW RECRUITING FOR AN EVENT ASSISTANT
The Yucaipa Performing Arts Center (YPAC) opened in the Spring of 2019 and is a 16,200 sq. ft. facility with a 10,500 sq. ft. multi-purpose theater with retractable seating for up to 285 individuals. The versatile space allows for audiences of up to 500 standing individuals as well as configurations for receptions and meetings. In addition, there is an indoor / outdoor stage with an adjoining 14,000 sq. ft. open-air plaza for audiences of up to 4,000 individuals. The YPAC provides space for many types of performing arts, including concerts, dance, theater, galas, and large events. Throughout the year, the City of Yucaipa also hosts several festivals, which include live performances in the Historic Uptown district where the YPAC is located.
The Event Assistant will be responsible for the safety of the public, ensuring a comfortable environment for audiences, and will supervise all front-of-house staff. They will work closely with the YPAC staff, box office, volunteers, and production personnel to ensure the highest quality house operations while upholding patron customer service expectations. They will also lead the front-of-house team to provide the highest level of guest assistance throughout the center and create a safe, secure, and professional environment.
The Event Assistant may work 2-3 shifts per week, depending on event schedule, and will report 1.5 - 2 hours before an event and stay until the end of the event ensuring all audience members have left and all public spaces have been tidied and readied for the next event.
Examples of Duties
Duties may include, but are not limited to, the following :
- Work alongside and report to the YPAC Rental Coordinator;
- Work with Box Office, Stage Management, and Production Staff to coordinate the smooth operation of the house before, during, and after performances, special events and rentals;
- Communicate pleasantly and courteously with guests, management and co-workers;
- Communicate, schedule, and train paid and volunteer ushers and coordinate program distribution and inserts;
- Maintain applicable attendance records, scanning ticket stubs, and prepare nightly event reports;
- Work closely with Box Office to troubleshoot all ticket problems and ticket buyer complaints;
- Direct and monitor lobby traffic;
- Provide assistance with guests' special needs such as helping those with wheelchairs;
- Guide guests to exits or provide other instructions and assistance in case of emergency;
- Respond to special requests from patrons and clients;
- Open, monitor, and close YPAC rooms during all performances, special events and rentals;
- Set up and tear down tables, chairs, linens, decor;
- Maintain the cleanliness and accessibility of all public spaces, which may include mopping, cleaning, removing trash, and restocking restrooms;
- Establish a strong working knowledge of ADA guidelines to support YPAC's accessibility goals;
- Be knowledgeable about the current and upcoming performances and events and how they may affect house operations;
- Schedule and oversee security as needed;
- Collect and track Lost & Found items;
- Assist in the Box Office as needed;
- Assist in ordering and managing stock and supplies as needed;
- Attend monthly staff meetings;
- Miscellaneous administrative tasks and responsibilities as assigned;
- Be flexible with adjustments to duties and assignments on a shift-by-shift basis; and
- Assist with special projects and assignments as needed.

EXPERIENCE & SKILLS
Candidates should have at least 2 years of prior experience with events and / or hospitality, have solid administration skills, must have exemplary customer service, interpersonal, written and verbal communication skills, and be a strong team leader. Must have enthusiasm, integrity, and energy. Demonstrated ability to thrive and multi-task in a fast-paced, high energy environment. Ability to work independently with good judgement and attention to details. Ability to maintain a calm, professional demeanor in all situations. Proven ability to be self-motivated, assume responsibility, and take initiative. Ability to effectively identify and communicate issues or problems. Ability to be punctual for the assigned shift. Computer literacy (both Mac and PC, Microsoft Office) and knowledge of ticketing systems is a plus. Experience with emergency situation management is a plus. First Aid and CPA certification is a plus.
