This examination is open for consideration to all qualified and interested city employees and to the general public. Applicant must have typing skill of at least 30 words per minute (wpm) with 10 or fewer errors. Typing will be administered after submitting an electronic application.
Position Qualifications
An appropriate combination of education, training, course work and experience may qualify an applicant to demonstrate required knowledge, skills, and abilities. An example of an acceptable qualification is: high school degree, GED or equivalent with coursework or experience in production typing, dictation and records management.
Ability to document identity and employment eligibility within three (3) days of original appointment as a condition of employment in compliance with Immigration Reform and Control Act requirements.

Distinguishing Job Characteristics
Under general supervision, types, prepares and maintains police records and reports. Employee works with a team of other Records Clerks, with each Record Clerk normally assigned to specialty areas of responsibility including transcribing officer reports, fingerprint cards, traffic citations and accidents, and preparation of documents for court. However, areas of responsibilities may be reassigned at the discretion of the Police Chief, and likewise, each Clerk assists the other as necessary to complete assigned workloads.
Essential Duties And Responsibilities

Types and transcribes police reports from recorded dictation.
Types suspect personal and physical information onto fingerprint cards. Types disposition forms. Types affidavits on overdue parking tickets.
Enters crime data into computer system. Prepares crime statistic reports for submission to news media, crime data centers and officer districts. Completes Uniform Crime Report for submission to FBI, and domestic case statistics for submission to Attorney General’s Office. Completes Prosecutor complaints report for Prosecutor review for filing charges.
Enters moving violations, warnings, traffic citations, parking violations, accident reports and other information into computer system.
Prepares arrest reports and other documents for officers, prosecutors, law directors and others in preparation for daily court appearances.
Provides assistance to attorneys, insurance companies and other members of the general public regarding obtaining public-record reports and other information. Answers routine questions, collects report fees and directs complaints to appropriate party.
Communicates information to other law enforcement agencies, via computer and telephone, pertaining to suspects and cases.
Completes and submits liquor permit form letters and personal history forms to City Council and Department of Liquor Control.
Collects parking ticket fines, pulls tickets when paid and submits monies to Municipal Court.
Copies reports for insurance companies, attorneys, governmental bodies, general public and others. Collects money for copies and issues receipts.
Completes background checks for the general public or agencies, by mail or in person.
Opens mail requesting copies of police reports or other information. Makes and mails copies, and prepares receipts. Sends faxes to qualified agencies.
Files fingerprint cards, name cards, reports and records. Files, cross-indexes, retrieves and processes cards, records and reports.

Applicants who attain a passing score of 70% on the exam and meet the typing requirements of 30 wpm with no more than 10 errors will have their names on eligibility list. The list will be arranged according to the scores of the exam from the highest to the lowest; it will then be used to fill current and future vacancies for two years or upon depletion thereof. Applicants must meet the requirements of the typing exam and written exam to be on the eligible list. All tests have time requirements. Applicants must pass all phases of the testing.
Military Credit
Applicants who have been honorably discharged from active duty in the U.S. Armed Forces are eligible for additional credit of 20% on their exam provided a passing score is obtained. Copy of honorable discharge or Form DD214 must be submitted before exam. No credit is given if proof of discharge is submitted after the examination date.
General Information
A thorough background investigation will be conducted into the applicant’s work experience, reference checks, criminal activities, character, trustworthiness, and dependability. Applicant will also be subjected to a polygraph examination. Applicant selected for employment must pass a physical and drug screen.
