Job Summary:

The Accounts Receivable Clerk is responsible for ensuring the completion of the company's accounts receivable processes. This position involves tracking payments, ensuring timely and accurate invoicing, and reconciling accounts. This position is also responsible for performing specialized tasks in support of the accounting cycle, including processing accounts receivable and processing/reconciling bus pass inventory.

Duties and Responsibilities:

  • Process and document daily transactions in receivables, budget accounts including receiving, processing, and preparing receipts, invoices, statements, payments, and related information.
  • Generate and issue accurate invoices to clients and customers, ensuring they are sent in a timely manner.
  • Process and record incoming payments and revenue applying them to the correct accounts and invoices.
  • Reconcile customer accounts to ensure accuracy, resolve discrepancies, and maintain detailed records of outstanding invoices and payments.
  • Follow up on overdue accounts and payments through phone calls, emails, or letters to ensure timely collection.
  • Enter and update account information and transactions in the accounting software, maintaining organized and accurate records.
  • Prepare and file reports on receivables, develop and maintain regular reports via the company's accounting system, and assist in month-end closing.
  • Respond to customer inquiries regarding invoices, payments, and account status, providing excellent service to resolve and address payment issues while maintaining positive relationships.
  • Ensure the accuracy of data input and reporting, research and correct account discrepancies, and maintain thorough and accurate documentation in accordance with company policy and best accounting practices.
  • Perform monthly reconciliations on all AR accounts and record data for a variety of standard worksheets, vouchers, deposits, sales receipts, bus pass inventories, and cashiering sessions.
  • Engage in ongoing educational opportunities to update job knowledge.
  • Gather and prepare documents for the annual audit, ensuring all files and documentation are complete and compliant with generally accepted accounting practices.

Training and Experience:

  • Associate's degree in accounting and 2 years' experience in accounting or a related field; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

  • Basic accounting principles and practices
  • Data entry techniques
  • Mathematical concepts
  • Customer service principles
  • Accounts payable/receivable reporting techniques
  • Recordkeeping principles
  • Computers and related software applications
  • Applicable Federal, State, and/or local laws, rules, and regulations.

Skills in:

  • Providing customer service
  • Performing mathematical calculations and balancing accounts
  • Proficiency with Microsoft Office programs (Excel, Word, and PowerPoint)
  • Reconciling financial records and information
  • Operating standard office equipment
  • Tabulating, recording, and balancing transactions
  • Researching account discrepancies
  • Using a computer and applicable software applications
  • Applying applicable Federal, State, and/or local laws, rules, and regulations
  • Communication, interpersonal skills as applied to interaction with coworkers, supervisor, the public, etc. sufficient to exchange or convey information and to receive work direction.
  • Ability to prioritize, multi-task and maintain flexibility in a fast-paced environment

Physical Requirements:

  • Typically requires reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.
  • Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
  • Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

General Working Hours:

  • Monday to Friday
  • Requires some flexibility in scheduled working hours, including Saturdays
