About the Position

We are looking for an Admininstrative Assistant to provide administrative support to the Transportation Department. It focuses on maintaining accurate records, supporting compliance efforts and assisting with scheduling and documentation. The assistant collaborates with driver managers, fleet management, and external vendors to ensure smooth and efficient operations.

You’ll report to the Director of Transportation, working out of our Kalispell, MT location, focusing on these key responsibilities :

  • Maintain and organize records related to transportation operations.
  • Assist in compliance documentation and regulatory reporting.
  • Support scheduling and logistics coordination.
  • Coordinate with external vendors for repair and maintenance services.
  • Process and audit transportation-related documentation.
  • Utilize TMS software for data entry, tracking, and reporting.
  • Assist with onboarding documentation and training coordination.
  • Prepare internal communications and maintain company policies.
  • Other duties as assigned.

Requirements

  • Associate degree in Business Administration or related field, or equivalent work experience.
  • 3 years previous experience in an Administrative Assistant role.
  • Proficiency with Microsoft Office Suite and transportation management systems (TMS).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Familiarity with DOT regulations (preferred).
  • Attention to detail and ability to manage multiple tasks.
  • Commitment to provide outstanding customer service.
