Summary of Position:
The Buyer Support role provides essential administrative and operational support to the buying team, ensuring a seamless purchasing process for materials, goods, or services. This position will involve coordinating with vendors, tracking purchase orders, confirming goods receipts, managing inventories, price book creation & maintenance, and providing customer service to internal teams. The ideal candidate will be proactive, detail-oriented, organized, and proficient in communication and problem-solving.
Primary Job Responsibilities:
- Purchase Order Management: Assist in the tracking and goods receipt confirmation of purchase orders to ensure timely delivery and accuracy.
- Pricebook Creation & Maintenance: Work with buyers and suppliers to create and maintain price books associated with negotiated commercial agreements.
- Vendor Communication: Liaise with suppliers and vendors to clarify order details, resolve issues, and ensure on-time delivery.
- Data Entry and Documentation: Maintain accurate records of purchases, including order confirmations, delivery receipts, and invoices.
- Issue Resolution: Address and resolve issues related to Purchase Orders, deliveries, damaged goods, incorrect orders, or billing discrepancies.
- Cost Analysis: Provide basic cost comparison and analysis to assist in purchasing decisions.
- Reporting: Assist in preparing regular reports on purchase orders, expenses, inventory, and vendor performance.
- Collaboration: Work closely with internal teams (e.g., operations, accounting, legal) to ensure alignment.
- Customer Service: Offer excellent support to internal stakeholders regarding whatever support is needed.
- Compliance and Documentation: Ensure compliance with company purchasing policies and procedures, maintaining up-to-date documentation of all transactions.
Knowledge/Skills/Competencies
- Proven experience in a purchasing, administrative, or support role.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work under pressure and handle multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.).
- Strong problem-solving skills and ability to troubleshoot issues independently.
- Ability to work in a fast-paced environment and meet deadlines.
Education & Experience:
- Minimum of 5 years of experience in a purchasing, administrative, or support role
- Bachelor's degree in business, Supply Chain Management, or a related field preferred
- Experience with purchasing or inventory management software (Enverus OpenInvoice Platform).
- Previous experience in procurement or support roles in a related industry.
- Familiarity with vendor management and contract negotiations.
Travel Requirements:
- Work is performed at a CIVI location Tuesday through Thursday, with the option to work remotely on Mondays and Fridays as business needs allow and with manager approval.
- Schedule: Traditional 40-hour workweek or an alternative schedule of 9-hour workdays Monday through Thursday and 4-hour workdays on Friday, as business needs allow and with manager approval.
