- Represents CESD in a professional manner in all communications
- Determines and communicates the priority of phone calls, visitors, reports and correspondence with sensitivity and confidentiality
- Maintains confidentiality regarding all department matters
- Independently composes written correspondence for CESD
- Responds to inquiries and requests that require extensive knowledge of the ESD’s programs and services
- Initiates written and oral communication on behalf of the department in the support of departments and programs
- Assists with talent sourcing and attracting candidates, utilizing digital job boards, social media, professional networks, and internal databases
- Identifies, attends, sets up and plans recruitment and community events for all job classifications
- Supports hiring managers in actively searching for potential candidates through various channels and community-based events
- Assists with creating postings on the internal applicant tracking system and other external platforms
- Recommends and implements process improvements to enhance the efficiency and effectiveness of the recruitment process
- Collaborates with Communications staff for consistent and impactful outreach messaging using multiple media platforms including social media
- Maintains recruitment and retention inventory and materials, to include ordering, organizing, moving, loading, unloading, taking in for repair, etc.
- Assists with retention activities as directed, to include data organization and collection
- Assists with the New Employee Orientation program throughout the year, to ensure a supportive onboarding experience for new employees
- Collaborates with the HR team to create and contribute to a welcoming and supportive environment for all CESD employees (i.e., psychological safety, wellness, equitable practices, etc.)
- Assists with exploring and recommending other retention strategies to meet the needs of diverse new hires
- Assists with the creation of and maintenance of agency job descriptions
- Assists with onboarding activities and events throughout the year
- Assists with department data processing and research projects
- Assists with department communication tasks
- Backs up the front desk for breaks and as needed
- High school diploma, GED or equivalent preparation
- Five years of recent experience fulfilling the functions of an administrative assistant role (up to two years of college-level education can be substituted for two years of experience)
- Ability to compose, revise, edit and proofread professional documents
- Five years of experience using word processing, database, spreadsheet and presentation software
- Ability to work independently and use initiative and judgment in accomplishing tasks
- Ability to coordinate assignments and work independently, prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail
- Ability to generate and implement strategies to improve efficiency and enhance service delivery
- Ability to conceptualize and set up welcoming and attractive booths for recruitment and community events
- Ability to use written and oral communication skills to explain policies, procedures and projects
- Ability to interact with employees, clients and the public using discretion, tact, diplomacy and judgment to represent CESD in a professional manner
- Bilingual. Bilingual candidates must pass a language proficiency assessment at an intermediate high to advanced level per CESD guidelines to be eligible for bilingual salary placement

About this position:
The Human Resources (HR) Administrative Assistant provides high-level administrative and project support that enables the department to provide quality services to all employees. The position requires exposure to highly sensitive information and involvement with school district and community contacts, requiring the use of discretion, tact, diplomacy and judgment. The HR Administrative Assistant requires a high level of skill in administrative, communications, and project management tasks. This position primarily supports recruitment and retention activities.
