- Compensation: $22-$26/hour based on experience
Responsibilities:
- Great in Microsoft Excel including data organization, formulas and reporting tools
- Strong data skills with the ability to manage and present data effectively and accurately
- Excellent phone etiquette with clear, professional communication skills
- Make collection calls to ensure timely payments and reduce outstanding balances
- Daily contact with clients regarding past-due accounts; collections experience required
- Follow up on overdue invoices and file liens when necessary
- Provide support on Accounts Receivable (AR) and Accounts Payable (AP) error reports
- Assist Controller with tasks as needed
- Support Warehouse Manager with receipt collection and other needs
- Support with Marketing and Social Media posts as needed
- Process Wells Fargo financing transactions
- Manage & Collect W-9 forms for vendors and contractors
- Assist with some payroll calculations, including overtime tracking
- Make cash and check deposits for the branch as backup
- Invoice customers for completed jobs, ensuring accuracy and timely delivery
- Offer administrative support to managers across multiple departments
- Serve as backup for other staff, including Office Manager and Department Coordinators
- Perform additional administrative duties as assigned, tasks can change daily based on needs
What we need:
- 2 years of Administrative Assistant experience preferred
- Accounts Payable and Accounts Receivable experience preferred
- Experience in collections a plus
- Excellent communication, organization, and time management skills
- Detail oriented and motivated
- Proficient in Microsoft Excel
- ability to work independently and in a fast-paced environment
