What are the responsibilities and job description for the OFFICE ASSISTANT I/II position at Clark County, NV?

Clark County is seeking qualified candidates to apply for the Office Assistant I/II position. This position provides a variety of routine to difficult office support to various County and local government offices, which may include typing, word processing, receptionist duties, record keeping and filing.

Office Assistant I: $15.94 - $24.67 Hourly
Office Assistant II: $17.20 - $26.67 Hourly

The Office Assistant I is a training underfill position, upon successful completion of the training program the successful candidate will be non-competitively promoted to Office Assistant II.

This examination will establish an Open Competitive Eligibility list to fill current and/or future vacancies that may occur within the next six (6) months at either level or may be extended as needed by Human Resources.

Human Resources reserves the right to call only the most qualified applicants to the selection process.

Candidates invited to interview for positions requiring Bilingual experience may be required to take an assessment that will be the final determination of reading, writing, speaking, and comprehensive language skills in English, Spanish, and/or Tagalog.

Some positions may be used to fill term Limited-Permanent positions. The selected candidates will be hired for a special project or duties of a limited duration and be required to sign a term of employment letter specifying condition and exact dates of employment. The successful selected candidates will be eligible for benefits during the duration of employment.

Some positions may be Grant Funded. Grant Funded positions are subject to continuation based on availability of grant funds and the employee will be terminated without right of appeal when such funds are no longer available.

Some positions may be Bond Funded. Bond Funded positions are subject to continuation based on availability of bond funds and the employee will be terminated without right of appeal when such funds are no longer available.

Some positions may be used to fill permanent-intermittent positions. The selected candidates will work a regular schedule of more than 20 hours and less than 40 hours in a workweek. They will be paid at the approved hourly rate for actual hours worked. The successful selected candidates will be eligible for benefits on a prorated basis based on hours worked in a pay period.

Some positions may be used to fill job share positions. Job Share positions are for two (2) employees performing in permanent positions of the same classification who share one specific job. Time worked will be 21 hours per week. Job Share employees will be paid at their hourly rate for actual hours worked. Sick and vacation leave benefits will accrue on a prorated basis based on hours worked in a pay period.

MINIMUM REQUIREMENTS

Education and Experience:

Office Assistant I - Equivalent to graduation from high school, AND six (6) months full-time general clerical, customer service, or related experience.

Office Assistant II - In addition to the above, one (1) year of full-time general clerical, customer service, or related experience. Professional level experience and/or education that has provided the skills and knowledge necessary to perform all job functions at this level may be substituted on a year-for-year basis.

NOTE: Certain positions may require net typing speed of 45 wpm.

Licensing/Certification:
Specified positions may be required to possess a valid Nevada Driver's License at time of appointment.

Background Investigation: Employment is contingent upon successful completion of a background investigation. Periodically after employment background investigations may be conducted.

Pre-Employment Drug Testing: Employment is contingent upon the results of a pre-employment drug examination.

EXAMPLES OF DUTIES

Types correspondence, reports, forms and specialized documents related to the functions of the organizational unit to which assigned from drafts, notes, dictated tapes, or brief instructions, using a typewriter or word processor; may compose standard correspondence from brief instructions. Proofreads and checks typed and other materials for accuracy, completeness, compliance with departmental policies, and correct English usage, including grammar, punctuation, and spelling. Enters, edits and retrieves data and prepares periodic or special reports, using a computer system and following established formats and menus; may perform production computer information entry. Prepares and updates a variety of reports and records which may require the use of arithmetic calculations and consolidating materials from several sources. Acts as receptionist and receives and screens visitors and telephone calls and takes messages; provides factual information regarding County or departmental activities and functions which may require the explanation of rules, policies and/or procedures; may receive, receipt and balance monies. Maintains records and processes forms, such as work orders, purchase requisitions and others specific to the organizational unit; may make arithmetic or
standard statistical calculations. Establishes and maintains office files; researches and compiles information from such files; purges files as required. Reviews computer-produced and typed reports for accuracy, research exceptions and makes corrections as required. Operates standard office equipment, including word processors, computers, facsimile equipment and central telephones; may operate microfilm, radio telephone and other departmental-specific equipment after training. Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a work team. Compiles materials for meetings, prepare agendas and attend such meetings to take summary notes as required. May train and direct the work of temporary staff for special projects or programs. Performs such office support activities as opening and distributing mail, processing outgoing mail, making travel arrangements and preparing purchase requisitions. May be required to operate a motor vehicle to various locations throughout the County.

PHYSICAL DEMANDS

Mobility to work in a typical office setting and use standard office equipment, vision to read printed materials and a computer screen, and hearing and speech to communicate in person or over the telephone. Specified positions may be required to lift or move heavy materials and/or drive a motor vehicle. Accommodation may be made for some of these physical demands for otherwise qualified individuals who require and request such accommodation.
