Business Title:
- Executive Administrative Assistant
Job Purpose:
- To provide comprehensive administrative and secretarial support to executive-level management at Clean Recovery Centers, ensuring smooth daily operations and efficient workflow. This role requires a high level of professionalism, discretion, and proactive problem-solving skills.
Key Responsibilities:
- Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements with meticulous attention to detail and anticipating potential conflicts.
- Prepare and edit correspondence, presentations, reports, and other documents, ensuring accuracy, formatting consistency, and adherence to company branding guidelines.
- Screen incoming calls, emails, and mail, prioritizing and directing inquiries appropriately, and exercising sound judgment in handling confidential information.
- Coordinate and manage logistics for meetings, conferences, and special events, including venue booking, catering arrangements, and material preparation.
- Maintain organized and easily accessible filing systems, both physical and electronic, ensuring efficient retrieval of information.
- Process expense reports, invoices, and other financial documents, adhering to company policies and procedures.
- Conduct research and gather information as requested by executives, utilizing various resources and presenting findings in a clear and concise manner.
- Proactively anticipate the needs of executives and take initiative to address them, ensuring seamless support and minimizing disruptions.
- Maintain a high level of confidentiality and discretion in all matters related to the executive team and company operations.
- Build and maintain strong relationships with internal and external stakeholders, fostering effective communication and collaboration.
- Stay informed of company policies, procedures, and industry best practices, ensuring compliance and continuous improvement in administrative support functions.
- Perform other related duties as assigned by the executive team to support the overall success of the organization.
Qualifications
Required Education:
- High School Diploma or equivalent; Bachelor's degree preferred
Required Experience:
- Minimum of 2 years of experience providing executive-level administrative support in a fast-paced environment.
- Proven experience managing complex calendars and scheduling, including coordinating travel arrangements and itineraries.
- Extensive experience preparing and processing correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
- Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Experience managing confidential information with discretion and professionalism.
- Experience working with diverse teams and individuals at all levels of an organization.
