Scope of the project :
The overall scope for the project manager in the implementation of the UKG timekeeping system encompasses leading the transition from the existing Kronos system to UKG within a 90-day timeframe. This includes coordinating with the UKG implementation team, Richland One payroll team, and IT staff to manage tasks, timelines, and resources effectively. The project manager will facilitate training and ensure communication is clear to everyone involved.
The expected outcome of this project is a successful deployment of the UKG timekeeping system that meets the operational needs of Richland One, enhances payroll efficiency, and ensures compliance with employment regulations. Additionally, the project aims to provide comprehensive training and documentation for staff utilization.
Daily duties / responsibilities :
Task management – Provide assistance with UKG software challenges to staff, ensure everyone knows their responsibilities and deadlines, assign daily tasks for team members, and report problems to the CFO for assistance if needed.
Attend weekly meetings with the UKG project manager to go over the overall health of the project.
Attend weekly Friday meetings with key Richland One payroll and IT staff and UKG technical staff to go over daily tasks assigned and receive updates on next steps.
Work with payroll staff to ensure the testing of payroll rules on UKG software was converted correctly from Kronos, the current software.
Work with payroll staff to ensure the setup for employee accruals is correct and to map the workflow on how the leave accruals will work on UKG, since this is a new feature of Richland One.
Work with payroll and IT staff to test the interfaces prepared by UKG IT staff and ensure they are working correctly.
Work with payroll staff to run parallel tests on a full-cycle payroll.
Identify and address any issues or roadblocks that arise during the implementation process, facilitating discussions to resolve them.
Ensure that all project documentation is up to date, including meeting dates, recorded meetings, action items, and project plans.
Organize and facilitate training sessions for payroll staff, ensuring they understand how to use the new UKG system effectively. Also, coordinate training for IT staff to ensure they understand what technical support will be needed to keep the system operating efficiently.
Work with the CFO and payroll director to design a training program to train all UKG users within the district.
Continuously assess potential risks to the project and develop mitigation strategies to address them proactively.
This position is 100% remote with part-time hours and could vary in hours from week to week, with work hours being estimated between 8 : 00 AM and 5 : 00 PM EST.
Skills :
Required skills (ranked in order of importance) :
Kronos or UKG timekeeping system or payroll timekeeping system with 5 years or more experience.
5 to 6 years of project management expertise.
3 or more years of knowledge of payroll compliance.
Proficient with imports / exports.
Proficient with Microsoft Excel, Word, PowerPoint, and Access.
Leadership skills.
Preferred skills (ranked in order of importance) :
Experience with payroll software conversions.
6 or more years of project management expertise.
Experience with the Tyler Munis ERP system.
6 or more years with the Kronos timekeeping system.
