Clear Creek Plumbing & Gas is seeking an Office Assistant to join our office team who is passionate about wowing customers through customer service, diligently executing tasks, and knocking out their work. We're looking for a genuinely nice person with a great attitude who's ready to provide professional support to our customers and is also coachable and open to receiving feedback.

Job Title: Office Assistant
Type: Full-time position
Hours: Monday - Friday, 8am – 4pm
Pay: Starting out at $16 per hour based on experience
Work Location: 16453 N Clear Creek Rd, Hulbert, OK 74441
Travel: 10%
Essential Duties and Responsibilities:
- Lead Management: Handle all inbound leads, ensuring timely responses and follow-ups to convert inquiries into scheduled appointments.
- Scheduling: Coordinate and manage scheduling for fieldwork, estimates, and site visits to ensure optimal efficiency.
- Permitting: Oversee the permitting process, including applications, tracking approvals, and ensuring compliance with local regulations.
- Office Administration: Perform general office tasks, including data entry, record-keeping, and managing office supplies.
- Customer Communication: Serve as the first point of contact for clients, addressing inquiries and providing exceptional customer service. Answer high volume of customer's phone calls and emails on a daily basis.
- Phone Skills: Exhibit excellent phone etiquette while managing incoming calls and inquiries.
- Support Field Operations: Coordinate with the field team daily to ensure smooth communication and project execution.
- Task Management: Handle additional office-based tasks as assigned to support company operations.
- Collections: Keep track of all unpaid invoices. Proactively reach out to customers to collect on unpaid invoices. Bill the customers and process payments.
- Payroll Assistance & Supervision: Keeps track of service technician's hours, commission, and timesheets and prepares them for payroll submission

Education and/or Experience
- 1 year of proven experience in a fast-paced office environment demonstrating high level of customer service and answering a high volume of phone calls OR a college degree in Business Management/ Business Administration
Skills and Knowledge:
- Experience collecting on accounts receivable
- Experience answering high volume of incoming phone calls and assisting customers with any needs
- Excellent oral and written communication, including strong spelling, grammar, and punctuation
- Must sound professional, positive, and energetic on the phone and have a great tonality when speaking to the customers
- Treats people with respect. Works with integrity and ethically.
- Excellent organizational skills, time management, ability to prioritize, and comfortable working independently
- Must be computer savvy and able to easily navigate through technology
- Confident in handling customers complaints
- Ability to always remain professional and courteous with customers
- Dedication to follow checklists, stick to the assigned duties, and complete projects on time even without supervision
Ideal team members:
- Bring a positive attitude to work, are nice people and have a good energy to be around
- Don't need to be monitored at all times, can be relied on to answer all incoming calls. If any phone calls were missed you can be trusted to call all customers back even when unsupervised.
- Must be Trustworthy and Reliable
- Must be coachable = open to receiving feedback. You don't take things personally and get offended, instead you see it as an opportunity to improve.
- Don't have constant 'emergencies' come up almost every week and can be trusted to show up to work every day during the assigned work shift and stay until the end of the shift
- Must be able to pass a background check (and possible drug test)
