Administration
Essential Functions:
- Actively participate in program management and general staff meetings.
- Conduct team meetings on a regular basis.
- Attend and participate in administrative ICF-IID meetings.
- Ensure that safety standards and when applicable, safety devices are appropriately utilized in the program areas at all times.
- It is the responsibility of the Coordinator to maintain confidentiality with all clients and their families and maintain a professional image/role as a representative of the agency.
- Actively participate in decision making on an administrative level in conjunction with the Senior Director of ICF Community Day Services and/or Vice President of ICF Services.
- Assume all other duties as may be assigned by the Director or in the absence of the Director.
- In conjunction with the Director work to enhance the quality of services and market the program to increase the census.
- Maintain necessary records and reports such as client attendance, payroll, incident/seizure reports, etc.
- Have a thorough knowledge and understanding of Illinois Department of Public Health (IDPH), Centers for Medicare and Medicaid Services (CMS), and Department of Human Services (DHS) regulations and be responsible for ensuring that the facilities are operated in compliance with these regulations.
- Develop and ensure implementation of any necessary plan of correction.
- Maintain, update, and implement written policies and procedures covering all services provided by the facility.
- Provide direct supervision to the QIDP’s, including oversight of the management and scheduling of the DSP staff.
- Maintain/prepare records, budget reports as necessary for the Business Office or external agencies.
- Possess a fundamental understanding of program expenditures.
- Have an understanding of the funding mechanisms under which the facility operates and work with the Business Office, as necessary, to ensure that the program and facility comply with funding requirements. This includes completing the monthly attendance and bed holds as applicable.
- Conduct probationary and annual employee evaluations of assigned program staff.
- In conjunction with the Director of Community Services, assess and identify staff needs and areas of training on an on-going basis.
- Ensure compliance with Clearbrook’s Personnel Policies as they relate to the programs and their staff.
- Ensure compliance with Clearbrook’s Human Resources Policy and Procedures as outlined in the HR Manual as they relate to the programs and their staff.
- Hire, orient, train, supervise, evaluate, and discipline assigned program staff.
- Training, orienting, and supervising program staff to ensure that the delivery of services as determined by Clearbrook and each individual’s service plan is in accordance with all state and federal regulations.
- Adhere to all policies and procedures established for Clearbrook, the Developmental Training Program, and those of all governing bodies.
- Oversee program staff, work with families and appropriate agency departments to ensure efficient delivery of active treatment services to clients participating in the developmental Training Program.
- Conduct annual program evaluation in conjunction with the Director of Community Services.
- Assume all QIDP duties if the QIDP is absent or the position is open.
- Participate as a member of an interdisciplinary team in developing an individual program plan for each assigned client.
- Attend and present necessary information at required meetings.
- Maintain safety and quality control procedures.
- Maintain client files in accordance with Clearbrook policies and state and federal regulations.
- Conduct quarterly client file reviews and follow up with the QIDP’s as necessary.
- Complete mandatory training annually as mandated by state and federal regulations and Director of Community Services.
- Attend and pass the Direct Support Professional class offered by Clearbrook
Minimum: Bachelor’s Degree in Human Service or Related Field
Experience
Minimum:
- At Least 1 Year of Related Experience
- Two Years of Supervisory/Administrative Experience
- Must be QIDP Certified
- Knowledge of Governing Rules
