ADMINISTRATIVE ASSISTANT

The Clearwater COG membership consists of nine (9) County Boards of Developmental Disabilities. Currently, Clearwater COG includes the following counties: Crawford, Erie, Huron, Lucas, Marion, Morrow, Ottawa, Richland, and Seneca.
This is a professional position responsible for attending to visitors and inquiries on the phone and face-to-face. The individual in this position supplies information regarding the organization to the general public, individuals, providers, and county boards, and completes other administrative tasks and assignments.
Duties include:
- Manages confidential records, maintains individuals’ files, and updates filed data.
- Performs clerical tasks as needed, e.g. assists the general public, answers phone, handles mail, does copy work, inventories, and distributes information and materials.
- Maintains rosters for Clearwater individuals.
- Performs other Medicaid Administration duties and participates in Medicaid Administrative Claiming activities.
- Assists in maintaining the professional appearance of the office and is the point of contact for all staff in ordering office supplies with management approval.
- Prepares and maintains records, reports, and other related documentation.
- Serves as liaison between the Executive Director and other agencies as requested.
- Serves as the official record keeper of COG Board information, reports, and minutes. Prepares the COG Board packet and is responsible for distribution.
- Distributes patient liability reports monthly and files electronically.
- Distributes all program reports (service excellence and medication administration), files them electronically, and updates applicable databases.
- Prepares and distributes newsletter/hot topics and training information.
- Prepares Supported Living contracts and addendum letters. Tracks receipt of all contracts and addendums.
- In accordance with State and local laws, policies, and procedures, is responsible for the storage, retention, and dissemination of all COG meeting agendas and minutes.
- Understands and practices professional ethics in keeping with the confidentiality of information and materials.
- Attends staff meetings and other professional meetings and serves on committees as assigned or required.
- Adheres to COG policies and procedures.
- Provides exemplary customer service through courteous, responsive interactions with county board staff, providers, and individuals receiving services.

Qualifications:
- High School Diploma; experience in and knowledge of office practices and procedures; skill in typing and public relations.
- Must maintain a valid Ohio Driver’s License and maintain a status of insurability for motor vehicle insurance in accordance with Clearwater policy.
- Acceptable BCI/FBI background check.
Notes:
- 40 hours per week, Overtime Eligible
- Generally, 8:00 a.m. to 4:00 p.m. Monday through Friday.
- May work flexible hours as needed based on operational needs.
- The position is based in the COG’s Oak Harbor, Ohio office, with the ability to work remotely 1 day per week after probationary period.
- $16.83 per hour, may be higher based on applicant’s experience and skills.
