Overview:
Our private, multi-clinician, mental health practice is looking to hire a Patient Intake Specialist with customer service experience. To be successful, candidate must have communication and task management skills and ability to work closely with mental health patients on a live changing treatment. As a Patient Intake Specialist, you will play an important role in the onboarding and initial assessment of individuals seeking TMS therapy. This involves gathering relevant patient information, assessing candidacy, following appropriate processes, and ensuring a positive and supportive customer experience for individuals seeking TMS treatment.
Responsibilities:
- Main point of contact for patients contacting the practice.
- Answer incoming calls to educate prospective and incoming patients regarding TMS treatment, verify patient insurance.
- Conduct informative consults for those interested in learning about TMS
- Obtain and document detailed medical and psychiatric history, including current medications and accompanying treatments.
- Build relationships with established and new patients to ensure high patient satisfaction
- Track incoming patient leads and coordinate patient authorization approval process
- Organize and manage patient requests and track/report to management on a weekly basis
- Update and maintain patient charts in the EMR/EHR system.
- Provide friendly customer service to all patients in-person and over the phone.
Communication and Education:
- Clearly communicate the TMS therapy process, benefits, and potential outcomes to patients.
- Address patient questions and concerns regarding the treatment or finances, providing accurate information and managing expectations.
- Collaborate with healthcare professionals and other team members when appropriate.
Documentation and Record Keeping:
- Create accurate and up-to-date electronic health records for each patient.
- Ensure compliance with privacy regulations and maintain confidentiality of patient information.
Collaboration with Clinical Team:
- Work closely with psychiatrists, psychologists, and other healthcare professionals to facilitate a collaborative and integrated approach to patient care.
- Efficiently correspond with other provider offices to establish a coordination of care
- Provide regular updates on patient progress to the clinical team, when necessary
Patient Advocacy and Support:
- Advocate for the needs of TMS patients within the healthcare system.
- Coordinate and manage the authorization and pre-approval process for each patient’s case
Qualifications:
- Bachelor's degree in a healthcare-related/business field preferred but not required.
- Prior experience in a healthcare setting, preferably in mental health, preferred but not required.
- Excellent interpersonal and communication skills.
- Strong organizational skills and attention to detail.
- Ability to maintain composure and professionalism in a fast-paced environment.
- Ability to work independently AND with a team when necessary.
- Knowledge of electronic health record systems.
- Ability to provide consistent communication
