The Hospitality Coordinator plays an integral role in implementing the office food program and supporting events at the firm. This role ensures exceptional experiences in office for clients, attorneys, and staff by providing support for events in house, meeting support, and day to day hospitality operations with attention to detail and professionalism.
Responsibilities
- Accountable for implementing the day-to-day food services program for the San Francisco office, ensuring high standards of food quality and service.
- Provide support for internal events including receptions and client meetings.
- Coordinate meeting catering requests.
- Maintain catering kitchen, ensuring proper food safety measures and cleaning practices to ensure a safe environment for all users.
- Event setup, service, and breakdown, orchestrating smooth execution while maintaining active communication with clients, staff, vendors, and venues.
- Maintain and update a food restriction list to ensure the safety and well-being of staff and guests.
- Implement and streamline catering order systems to lower food cost/waste.
- Monitor the inventory levels of coffee supplies, food items, and utensils. Restock items as needed and assist in inventory audits and supply orders.
- Maintain records, invoices, and process food program expenses in a timely manner.
- Ability to travel to the Silicon Valley office to assist with food services for events.
- Other duties as assigned.
Qualifications
- High school diploma or equivalent
- Possess 3 years of experience as an event planner, restaurant front-of-house manager, or similar.
- Demonstrate genuine enthusiasm for hospitality and client service, ensuring every interaction reflects our commitment to excellence.
- Excellent communication and interpersonal skills.
- Ability to work efficiently in a fast-paced environment.
- Availability to work flexible hours, including weekends and holidays as needed.
- Exhibits strong attention to detail and ability to thoroughly complete tasks with minimal direction.
- Demonstrates superb time management skills.
- Is flexible and adaptable to changing priorities.
- Ability to lift and move objects up to 50 lbs. in weight.
- Ability to physically work in each of the Northern California offices (Silicon Valley and San Francisco), although San Francisco will be designated as the “home base office” for this role.
- Technology: Proficient in all the technology and software used at the firm. This includes but is not limited to, Microsoft Office Suite, Outlook, Workday, and iManage.
- Communication: Can receive, process, and deliver accurate verbal and written messages correctly, chooses the appropriate communication style for the situation, and conveys information, concisely, and logically.
- Service Orientation: Actively listens, anticipates, and proactively attends to staff and client (both internal and external), is knowledgeable of where to direct attorney and client questions/concerns, works well under pressure, and can prioritize competing requests.
The estimated base salary range for this position is $55,000 to $58,000 at the time of posting. The actual salary offered will depend on a variety of job-related factors, including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, and performance. This role is non-exempt meaning it is overtime pay eligible.
