POSITION SUMMARY
The Financial Client Services Representative works under the direction of the firm principals and/or senior planners to ensure that a consistent message and exquisite level of care are provided to our valued clients in an expeditious and professional manner. The goal is to diligently contribute to the team while continually looking to leverage the advisors’ time and grow the firm’s profitability. Our financial planning business offers an intimate setting, specializing in meeting the needs of successful business owners and professionals. ESSENTIAL DUTIES
The purpose of the Financial Client Services Representative role is to provide superior customer service and to assist advisors with preparation for all client service meetings. The position directly assists the advisors who are the cornerstone of the client relationship. The individual must be committed to gaining a broad base of knowledge across all functions of the business, including investments, administration, compliance, and financial plan design. This person must be adept at problem solving and comfortable interacting with clients and others to assure seamless integration of the unique client experience. An emphasis on timely responsiveness is critical. Organizational skills and attention to detail are also essential given the nature of paperwork, processes, and related work, upon which both clients and the team depend.

Administration
- Update processes / procedures as needed
- Effectively use database to assure seamless integration of all systems
- Coordinate and schedule meetings
Client Services
- Thoughtfully assist in the management of all elements of the Client Experience
- Provide proactive, consistent, and knowledgeable client communication
- Build relationships with clients
- Work with providers to secure information needed for all client meetings
- Follow up on all agenda items to assure completion by those responsible
- Research new products and technology as needed
- Create, submit, and manage all investment and insurance proposals
- Communicate regularly with clients to assure satisfaction and unique experience
Operations
- Open new accounts and complete associated paperwork with great attention to detail
- Initiate, process, and track all money movement with providers
- Synthesize data and create presentation materials
- Maintain and update client records and information
- Enter information and run various software programs necessary to secure data for client deliverables
Knowledge, Skills, and Attributes
- Office experience within a financial advisory practice preferred
- Minimum of two (2) years in a client service / operations role
- Bachelor’s degree (finance or related field preferred)
- Strong problem resolution skills
- Detail-oriented with a high degree of accuracy
- Exceptional organizational skills: ability to multi-task, follow up with, and meet deadlines
- Advanced computer skills: advanced knowledge of Microsoft Office Suite and spreadsheeting capability
- Easily adaptable to new software and systems
- Exceptional oral, written, and interpersonal communication skills
- Impeccable ability to maintain confidentiality and integrity
- Strong professional telephone skills
- Positive attitude, personal organization, and the ability to handle a heavy workload
