What are the responsibilities and job description for the ADMIN SUPP ASST II-Passports Acceptance Agent position at Cleveland County?
Performs intermediate administrative support work performing a variety of clerical, secretarial, or support duties in the Register of Deeds Office, and related work as apparent or assigned. Work is performed under the moderate supervision of the Register of Deeds. The normal work schedule includes Monday through Friday 8AM-5PM.
Essential Functions:
Performs a variety of administrative support duties including but not limited to managing files and records, composing, and preparing materials, reports, records, counting money and balancing cash drawers, scanning, faxing, filing, etc.
Greets customers and provides customer service to the public in person and on the phone
Answers the phone, transfer calls and takes messages.
Schedules appointments and sends emails
Restock supplies, printers, and copiers.
Processes passport applications. Prepare/Mail packet of applications daily to the Passport Processing Facility.
Compares end of day transmittals to appointment calendar
Creates packets of information
Assist the public in search of documents.
Obtain general knowledge of the General Statutes of NC relating to matters under the jurisdiction of the Register of Deeds.
Knowledge, Skills, and Abilities:
Must be detail oriented with basic reading, writing skills to read and review documents; Must possess proper etiquette when dealing with the citizens of the community; comprehensive computer skills knowledge including Microsoft Office, and the ability to send emails, scan and fax documents; Must possess exceptional organization skills and the ability to keep detailed and complex records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office tasks; ability to establish and maintain effective working relationships with associates, elected officials, vendors and the general public.
Education and Experience:
High school diploma or GED and 1-3 years' experience working in an office environment providing administrative support and working with the public. Government, real estate experience, or fluent in Spanish is preferred but not required, or equivalent combination of education and experience.
Physical Requirements:
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions and occasionally requires walking and reaching with hands and arms; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information at normal spoken word levels and to receive detailed information through oral communications and/or to make fine distinctions in sound; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).
Special Requirements:
Must possess excellent computer skills, professional phone etiquette and be detail oriented.
Must pass the Passport Agent training and maintain certification yearly.
Qualifications of persons designated by the Department to serve as passport acceptance agents.
(1) Is a U.S. citizen or a U.S. non-citizen national.
(2) Is 18 years of age or older.
(3) Is a permanent employee, excluding ad hoc, contractual, and volunteer employees; and
(4) Does not have a record of either:
(i) A Federal or State felony conviction; or
(ii) A misdemeanor conviction for crimes involving moral turpitude or breach of trust, including but not limited to embezzlement, identity theft, misappropriation, document fraud, drug offenses, or dishonesty in carrying out a responsibility involving public trust.
