General Definition of Work
Performs intermediate skilled administrative support work receiving, screening and processing telephone calls, issuing permits, typing a variety of documents, maintaining records and files, preparing reports, and related work as apparent or assigned. Work is performed under the moderate supervision of the Legrand Center General Manager. The work schedule is generally Monday through Friday, 8:00 a.m. to 5:00 p.m., with some evening and weekend requirements.
ESSENTIAL FUNCTIONS:
Greet visitors and conduct facility tours.
Answer phone inquiries and assist callers.
Provide support to walk-in customers.
Maintain catering records and related information.
Create and print event signage; update the outdoor marquee and indoor video monitors.
Develop and distribute the LeGrand staff event calendar.
Manage and reconcile the petty cash drawer.
Open and close the facility as required for events.
Order and maintain office supply inventory.
KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of related industry, organization, and department policies, practices, and procedures; thorough knowledge of related industry, organization, and departmental legal guides, recommendations, best practices, ordinances, and laws; ability to keep office records and to prepare accurate reports from file sources; ability to perform and organize work independently; ability to type at a reasonable rate of speed; ability to prepare effective correspondence on routine matters and to perform routine office management details without referral to supervisor; skill in the operation of personal computer equipment and related office software; ability to establish and maintain effective working relationships with associates and the general public.
EXPERIENCE & EDUCATION:
Associates/Technical degree in office administration, or related field and 1-3 years' experience providing administrative and clerical support in an office environment, or equivalent combination of education and experience.
PHYSICAL REQUIREMENTS:
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires speaking or hearing and using hands to finger, handle or feel, frequently requires sitting and occasionally requires standing, walking, climbing or balancing, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and repetitive motions; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, operating machines and observing general surroundings and activities; work is generally in a moderately noisy location (e.g. business office, light traffic).
SPECIAL REQUIREMENTS:
Must be at least 21 years of age.
