This is a start-up operation and we seek a hands-on individual to perform a variety of administrative tasks as we begin production.

Function:
The position will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, customer service, buying and production scheduling.
Essential Duties and Responsibilities:
Customer Service-
- Complete customer order entry process and ensure confirmation in a timely manner.
- Match customer request dates with production capacity per scheduling boards.
- Coordinate and expedite orders as warranted for customer satisfaction.
- Manage customer price list for proper invoicing and accuracy.
- Communicate regularly with customers regarding problem resolution, questions, issues,
- and concerns.
- Keep appropriate RSM advised in a timely manner of customer problems, questions, issues and concerns.
- Enter customer complaints into I-Sight system and follow up as required.
- Enter new customers into Oracle system in conjunction with corporate office and RSM.
- Create BOM checklist from sales quote and prepare sales order for production specs on new orders.
Administration-
- Ensure correct releases of blanket order items to the plant
- Purchase plant specific MRO items and factory supplies
- Analyze and review plant purchasing to ensure selection of best value vendors
- Direct the activities of the plant inventory
- Track inventory turns and consolidate inventory as required striving for continuous improvement
- Communicate inventory related issues and problems to Corporate Accounting in a timely manner
- Develop daily material schedules and production plans to meet customer commitment dates.
- Review and plan requirements for internal plant work orders.
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Organize and schedule meetings and appointments
- Partner with HR to maintain office policies as necessary
- Organize office operations and procedures
- Coordinate with IT department on all office equipment
- Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
- Manage contract and price negotiations with office vendors, service providers and office lease
- Provide general support to visitors
Qualifications and Skills:
- Proven office management, administrative or assistant experience
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills and ability to multi-task and prioritizes work
- Ability to plan for and keep track of multiple projects and deadlines.
- Familiarity with budget planning and enforcement, human resources, and customer service procedures.
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office
- Knowledge of accounting, data and administrative management practices and procedures
