We're transforming our operations post-acquisition, shifting from analog to digital processes with new automations and CRM integrations. As our dedicated Bookkeeper, you'll spearhead AP / AR management, payroll, licensing, HR, and tax responsibilities, ensuring seamless billing and reporting alongside our skilled team. Reporting to our Financial Controller, who oversees multiple enterprises, you'll lead our administrative assistant, shaping our streamlined future. CORE RESPONSIBILITIES
- Accounts Payable & Receivable : Track, process, and manage all incoming and outgoing payments, including vendor invoices and client payments.
- Bank & Account Reconciliations : Regularly reconcile bank statements and other financial accounts to ensure accurate records.
- Invoicing & Billing : Generate and send out client invoices, manage billing cycles, and follow up on outstanding balances.
- Licensing & Certifications : Oversee renewals and keep track of deadlines for all business licenses and certifications.
- Payroll Administration : Process payroll on time, maintain employee records, and address any discrepancies or issues.
- Tax Filing & Payments : Pay and file quarterly taxes, coordinate with tax professionals as needed, and maintain organized tax records.
- Deposits Management : Ensure all incoming payments and checks are deposited accurately and promptly.
- Coordination with Financial Controller : Assist in creating financial reports, budgets, and forecasts while working closely with the controller.
- Reporting & Analysis : Pull and review financial reports, identify trends, and provide recommendations for efficiency or cost savings.
- Supporting Administrative Tasks : Help answer phones, schedule services, and provide general office support.
- Collaboration with Service Manager : Work together on billing, service scheduling, and any related financial data.
- CRM Management (Service Titan) : Learn and leverage this CRM to track jobs, update invoices, and maintain accurate customer and financial data.
- Employee Files & HR Support : Organize and update employee files, ensuring compliance and confidentiality.
