As part of the Administrative Services executive support team, the Executive Assistant will be responsible for providing executive level administrative support to designated executives. This includes scheduling meetings and coordinating the executives' calendars, word processing, research and report preparation, meeting minutes, expense reports, maintaining payment records for vendors and special events and coordinating organization and division projects.
The Executive Assistant will maintain division policies and procedures while completing Administrative Services team assignments (e.g. meeting agendas and minutes, presentations, etc.). The Executive Assistant may be assigned to provide administrative support to other division managers.
The Executive Assistant will coordinate with Facilities Management Services for building-related activities and repairs while supporting faculty and staff in financial transactions such as equipment/supplies procurement, and accounting for travel expenses, reimbursements. The Administrative Assistant will compose and produce business correspondence, reports, confidential documents and/or forms, and related materials.
The ideal candidate for Executive Assistant should have Associates degree with seven years of administrative experience, at least three at executive level or Bachelor's degree with five years experience. Prior healthcare administrative experience in an executive setting is heavily preferred with strong interpersonal and communication skills including customer service, proactive task management, composition, and the ability to communicate effectively with outside vendors, employees, physicians and members of the executive team.
