Position Summary:
Responsible for providing administrative support to a branch or department by supporting managers and employees through a variety of tasks related to organization and communication. Ensures the performance of all duties in accordance with the company’s policies and procedures, all U.S. state and federal laws and regulations, wherein the company operates.
Responsibilities:
- Welcome guests and customers by greeting them, in person or on the telephone; answer and direct inquiries.
- Maintain department, branch or executives' appointment schedule and calendar.
- Plan and schedule meetings, conferences, teleconferences, and travel.
- Provide historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing and expediting orders for supplies, and verifying receipt of supplies.
- Ensure operation of equipment by completing preventive maintenance requirements, following manufacturer's instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Exercise initiative in organizing and completing assigned tasks according to established guidelines, safety standards and procedures, deadlines and department parameters.
- Prepare reports by collecting and analyzing information. Which may include; research, route correspondence, drafting of emails, letters and documents.
- Customer Care Queue: Provide exceptional customer service by professionally answering calls and ensuring that our borrowers feel acknowledged and that their loan-related questions or concerns are being properly addressed.
- Supply Ordering: Order, track & maintain sufficient office & shipping supplies.
- Events Management: Assist with company sponsored events (planning, set up & tear down)
- Sort & Distribute Mail & Packages.
- Complete other support tasks, as assigned by Management.
Requirements
- Prior receptionist, mail clerk and/or office administration experience preferable.
- Great ability to be patient with customers, visitors, and vendors.
- Strong ability to prioritize, keen sense of urgency, attention to detail, verbal, and written skills.
- Excellent customer service, interpersonal communication, time management and organizational skills.
- Intermediate skills in computer terminal and personal computer operation; Microsoft Office applications including but not limited to: Word, Excel, PowerPoint, Outlook and M-Teams.
- High School Degree or equivalent required, bachelor’s degree preferred.

Base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay for this role is $19.23 - $26.44/hr and will depend on multiple individualized factors, including your job-related knowledge/skills, qualifications, experience, and market location.
