The Assistant Director of Enrollment Services is a highly skilled professional who supports the College’s mission by managing staff and effectively administering admissions and enrollment processes and functions, serves as the Residency Officer, ensuring the college follows state and federal mandates, performs reporting functions by established deadlines, and reviews and edits Campus Solutions (CS) student enrollment coding for analysis and computation of college data.

This position has been designated as a bargaining unit position represented by the Aft Professional Staff, Local 6431.

Duty: Management of Enrollment/Registration 
Tasks include:  
  • Set up quarterly registration processes to include updating required CS screens for registration. 
  • Build and maintain all properties of enrollment appointments and term activation. 
  • Establish, schedule job, troubleshoot, and reconcile issues with waitlist.
  • Process and maintain enrollment cancellation (drop for nonpayment)
  • Manage and/or process contract program admissions and registration (apprenticeship, affiliated childcare centers, Purdy, Vadis, etc.). 
  • Work with the Director/Registrar on department processes and procedures and provide training to staff and other departments as needed. 
  • Research and proof duplicate records and submit to SBCTC to complete record merging. 
  • Collaborate with other offices on campus for training, processes, and events related to student admissions, records, enrollment, evaluations, and completion

Duty: Supervisory, Management, and Leadership 
Tasks include: 
  • Supervise, conduct evaluations, and monitor the performance for assigned staff.
  • Assist the Director/Registrar in managing the Enrollment Services Office.
  • Assume duties of the Director/Registrar in their absence. 
  • Promote and maintain exemplary customer service 
  • Assist the Director/Registrar in analyzing federal and state regulations and implementing appropriate policies and procedures. 
  • Manage coverage for front counter services. 
  • Serve on councils and committees as assigned. 
  • Assist the Director/Registrar in analyzing, designing, and implementing new functionality and solutions to support the department’s long-term goal of continuously innovating and improving the quality of services, processes, and data. 

Duty: Management of Student Records and Department Communications 
Tasks include: May include but are not limited to 
  •  Maintain published dates and information on the website and social media and update as necessary.
  •  Send and maintain communications with students, staff, and faculty using EAB Navigate, Campus Solutions 3Cs, and other applications related to enrollment cancellation, registration, admissions, residency, and completions.
  • Coordinate student listings and communications to students and other departments regarding enrollment cancellation and other matters as directed by the Director/Registrar. 
  • May assist the Manager of Student Enrollment/Systems in the management of the Academic Advisement Report (AAR) system and completion data.

Duty: Maintenance of ctcLink Applications and Troubleshoot issues related to Enrollment Services
 Tasks include: 
  •  With the direction of the Director/Registrar, lead coordination, technical support, and staff training for ctcLink, acting as Subject Matter Expert within the CS pillar.
  •  Research and troubleshoot admissions and enrollment issues for students, staff, and faculty (i.e. OAAP, ctcLink accounts, student coding, enrollment appointments, waitlists, residency, tuition waivers).
  •  Provide oversight and technical support for ctcLink and Legacy student information related to Enrollment Services responsibilities. 
  • Coordinate with IT on projects and resources that impact admissions and enrollment operations and troubleshoot data and information technology system issues related to Enrollment Services.

Duty: College Residency Officer 
Tasks include: 
  •  Plan and implement elements of residency requirements for Washington State Tuition.
  •  Review and determine residency reclassification requirements for tuition purposes.
  •  Interpret rules, regulations, policies, and procedures as they pertain to residency classifications and tuition waiver eligibility.
  •  Communicate student’s residency status and answer inquiries and concerns. 

Duty: Administrative tasks, college support, and professional development 
Tasks include: 
  • Assist with admissions, registration, phones, emails, enrollment cancellations, tuition waivers, etc., and providing information to the public, staff, and faculty regarding services, policies, dates, and deadlines. 
  • Assist the Director/Registrar with beginning and end-of-term processes and enrollment reporting (MIS) reviews, corrections, and analysis as needed. 
  • Regularly participate in training and professional development opportunities to further knowledge and self-awareness of diversity, equity, and inclusion.
  • Perform other duties as assigned by the Associate Dean for Student Success and/or Director/Registrar. 
• Bachelor’s degree from a regionally accredited college or university.
 • Experience creating, implementing, and managing projects and daily activities. 
• One year experience working directly with students, staff, and faculty in higher education. 
• One year experience in Enrollment Services and/or Admissions operations in higher education.
 • Experience working with and troubleshooting relational database systems or student management systems. 
• Experience with a college management system. 
• Proficiency with computer software applications, to include Word and Excel. 
• Experience interpreting state and federal regulations and policies. 
• Working knowledge of Washington State residency rules as related to community and technical colleges. 
• Experience assessing, evaluating, and training other employees. 
• Supervisory experience.• Master’s degree 
• Experience with quality assurance processes related to an office environment. 
• Experience working with the PeopleSoft student management system.
