Position Title: Administrative Assistant
General Responsibilities: The Administrative Assistant is responsible for general office support for the Pastor, Staff and Church
Supervision: The Administrative Assistant works under the supervision of the Pastor.
Specific Responsibilities:
In consultation with the Pastor, Staff, and Worship Committee, prepare for weekly Services:
- Gather information and complete weekly newsletters and bulletins.
- Print Bulletins (Adult and Children’s) and place in sanctuary.
- Ensure tablet is charged for Facebook Live.
- Manage collection of offering and make deposits.
Manage all bookkeeping and financial records for the church:
- Annual Budgeting, working with Finance Committee
- Payroll and taxes
- Invoices and Deposits
- Month end financial statements and account balancing
- Record of Contributions
- Annual Statistical Report, Attendance/Membership Roles, Memorials
- Presbytery Packet of Church and Financial Information
- Other records/bookkeeping as needed
Support the Session and prepare for Monthly Session Meetings:
- Gather information to compile the Session Package
- Email the Agenda and Session Package to Session Members prior to the monthly meeting.
- Suggest agenda topics based on information and feedback collected (as an example, maintenance items that are mentioned by members)
- Assist with compiling and distributing meeting minutes.
Maintain supply inventory and place orders as needed.
Answer phones and facilitate messages to ensure calls are addressed.
Maintain the church calendar and website.
Complete Background Checks for Staff and Volunteers.
Other general office duties as needed.
Required Knowledge, Skills and Abilities:
- Must be a reliable, trustworthy, and able to maintain confidentiality.
- Must have experience with bookkeeping, reporting, and general office duties, including technical abilities with Google, Microsoft Office, and/or comparable applications.
- Must have strong communication skills and demonstrated ability to work well with others.
- Must be self-directed and able to complete duties with little or no supervision.
- Previous Administrative experience is strongly preferred.
Hours/Time Requirements: 25 Hours per week, Monday – Friday, 8:00 AM to 1:00 PM
Salary Range: $24,000 - $27,000
