The Project Admin provides administrative support to the project management team, ensuring smooth operations for construction projects. This role includes document control, coordination of project schedules, communication with stakeholders, and assistance with compliance and reporting requirements.
Responsibilities:
- Project Coordination: Assist in planning, scheduling, and tracking project activities to ensure timely completion.
- Document Control: Maintain and organize project files, contracts, submittals, RFIs, change orders, and other essential documents.
- Communication: Serve as a point of contact for internal and external stakeholders, including clients, vendors, and subcontractors.
- Meeting Support: Schedule, prepare agendas, and take minutes for project meetings.
- Compliance & Reporting: Ensure compliance with company policies, regulatory requirements, and client specifications by tracking permits, safety documentation, and other required reports.
- Procurement Support: Assist with purchase orders, invoices, and tracking materials.
- Budget & Billing Assistance: Help track project expenses, review invoices, and coordinate with accounting for timely payments.
- Administrative Support: Perform general administrative tasks, including data entry, correspondence, and office coordination.
Qualifications:
- Associates or Bachelor's degree in Construction Management, Engineering, or related field (preferred but not required).
- 2 years of administrative experience in construction, engineering, or a similar industry.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and project management software (RedTeam, Bluebeam, or similar).
- Excellent written and verbal communication skills.
- Ability to work independently and collaborate effectively
- Familiarity with construction documentation, contracts, and project management processes.
- Experience using accounting or ERP software (e.g., QuickBooks).
