Job Title : Wealth Management Administrative Assistant
Department : Wealth Management
Reports To : EVP / Wealth Management
SUMMARY
Post and balance daily work for the WM Department : Reconcile demand deposit account and voucher account and resolve errors.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Answer phones, greet customers, open, date and distribute daily mail to appropriate individuals. Prepare certified and overnight mail for the department
- Image documents
- Assist WM Administrators opening new accounts (prepare and organize files).
- Maintain customer information changes
- Obtain obituary and legal notices that apply to WM accounts. Scan and file in client files
- Maintain birthday ticklers and send out greeting cards as needed.
- Order bank office supplies including staffroom paper goods
- Notarize documents as needed
- Maintain ticklers
- Prepare monthly pledge report
- Help maintain closed files in storage room, dispose of documents based on retention schedule
- Prepare receipts and maintain Will and Standby trust files
- Balance ICS / SGN reports daily and monthly
- Vote proxies as needed and maintain proxy file
- Control safekeeping vault key for entry
- Act as Administrative Assistant to the WM Manager and department Officers
- Prepare monthly bank calendar
- Prepare and upload monthly WM Committee and WMAC books and E-mail meeting reminder to committee members.
- Backup department personnel as needed
- Other duties as assigned
