The Position:
The Events Coordinator at CTI plays a critical role in managing the day-to-day operations of the delivery of our in-person Leadership Program retreats and Coach Training courses. This role is involved in the production of high quality learning experiences from pre-event planning all the way through post-event analysis, and it will also contribute to CTI process optimization projects. The Events Coordinator, reporting to the Program Manager on the Operations team, will work closely with staff, vendors, and other internal and external stakeholders to ensure the programs’ events run smoothly, meet deadlines, stay on budget, and achieve their objectives.
Key Responsibilities:
- Remotely coordinate events and events-related processes during all phases of production, keeping careful records of progress and facilitating clear, timely communication to ensure all parties are aligned with program objectives, needs, and timelines.
- Arrange all bookings for events including course venues, catering, travel and lodging for leaders and assistants, transportation, and event activities with close attention to budgeting and timely payment.
- Accurately manage materials for programs, including tracking inventory, placing orders from vendors, and ensuring materials are correctly delivered to courses in a timely manner.
- Build and maintain positive relationships with both internal and external stakeholders, acting as a liaison and responsibly representing CTI when working externally.
- Contribute to the improvement of design and delivery (Operations) functions, with a particular focus on evolving and improving the production of programs through automating, simplifying and streamlining processes and creating or updating comprehensive process documentation.
- Support Partners, Faculty, Technical Hosts and Assistants in providing a memorable and enriching course environment for students through tasks such as coordinating communications (such as event reminders) and documentation (such as travel policies or feedback reports) for these stakeholders.
- Manage some backend student experience in collaboration with Customer Support.
- Collect data and prepare reports to assess program efficiency and effectiveness. Help in evaluating outcomes and making recommendations for future improvements.
