ORGANIZATION:
Area Agency on Aging and Community Action Agency for Northwest Indiana, founded in 1965, the CoAction Mission is to ensure the people who experience financial hardship find opportunities, resources, and respect. We do this by helping individuals of all ages and families, through direct services and referrals.
Serving residents in Lake, Porter, Jasper, Newton, LaPorte, Pulaski, and Starke Counties
FUNCTION:
Reporting to the Resource Connections Supervisor, the receptionist position is responsible for greeting guests, answering the phone, organizing office operations, and providing administrative support to the organization
MAJOR DUTIES:
- Have a working knowledge of total program operations.
- Greet visitors at the front desk.
- Pleasantly answer the phone and route calls to appropriate staff or answer general information questions directly.
- Process inbound and outbound US mail and other deliveries.
- Maintain, organize, and order office files, systems, and supplies as needed
- Accept and date stamp documents dropped off by clients for different programs.
- Support CoAction staff in their work in a variety of ways.
- Develop and maintain relationships within the community
- Maintain professional and compassionate relationships in performing job responsibilities and as a representative of CoAction
Daily:
- Answer the phone. Answer the phone. Answer the phone.
- Monitor emails for faxes, voicemails, and other information. Follow the procedure for forwarding those messages.
- Postage all outgoing mail.
- Process all incoming mail.
- Check the drop box in the vestibule for paperwork.
- Direct those with an appointment to the correct person/department.
- Determine which department those without an appointment need and contact the rep for that area.
- Tracking reasons for client walk-ins without an appointment.
Weekly:
- Check the amount of postage on the mail machine and let Stephanie know the amount.
- Wipe down/dust desk and equipment. Do not use wet cloth on any digital screen.
- Look through the visitor sign in sheet folder. Shred any sheets more than 3 weeks old.
- Review supplies. If you need anything, inform Stephanie. There is to be no direct ordering.
MINIMUM QUALIFICATIONS:
- Must have a high school diploma or equivalent
- Driver’s License
- Able to provide consistent excellent customer service to all internal and external customers, clients, and co-workers. Must be friendly and upbeat and present a positive attitude.
- Proficient in using Windows Operating System, Microsoft Office applications including Excel and Word. Able to learn web-based Client tracking systems.
- Must demonstrate strong interpersonal, speaking, and writing skills.
- Must be able to solve complex problems independently
Job Type: Full-time
Pay: $15.00 - $16.11 per hour
Expected hours: 40 per week
