Essential Functions:
The Administrative Assistant for the Office of Admissions & Registrar is the key resource for the Admissions & Registrar Office and staff, providing support to students/parents/community members. They will serve as a point of contact for students in the enrollment process, for staff/faculty in the add/drop process, maintaining confidentiality in compliance with the Family Educational Rights and Privacy Act. This position exists to ensure the Admissions/Registrar Office carries out its purpose and functions at an optimum level in accordance with institutional policy. The Administrative Assistant will also be responsible for day-to-day office duties.
The Administrative Assistant will work under the general supervision of the Director of Admissions/Registrar.
Duties and Responsibilities:
- Maintain a welcoming atmosphere within the office and be a key resource for office staff.
- Demonstrate excellent organizational, communication, and interpersonal skills.
- Provide clerical and computer support to the Director of Admissions/Registrar and staff
- Meet and greet students, parents, and community members.
- Responsible for processing all outgoing and incoming mail.
- Performs daily general office duties and procedures, all other assigned duties.
- Responsible for answering telephones, takes messages and refers students to appropriate office.
- Maintain familiarity with changing admissions regulations and procedures.
- Quickly and accurately input/update student information into Student Information System so students can register for classes and to ensure correct reporting.
- Assist in processing transcript requests.
- Assist in utilization of Element 451 CRM
- Manage Occupational Skills Awards Certificates processing
- Manage Dean’s List Certificate processing
- Process Add/Drop forms
- Scan clear and readable student documents into the imaging system within the semester and assist with indexing.
- Participate in campus and off-site registration.
- Maintain the confidentiality of student records in compliance with the Family Educational Rights and Privacy Act.
- Be familiar with all CBC programs/departments and be able to assist with questions.
- Act as liaison with the IT department concerning computer technical support for the department and equipment.

Other Duties:
Will participate in College responsibilities such as Institutional Effectiveness Committee, Task Force, etc.
Travel Requirements:
May require some travel for off-site registration.
Environment:
Work is generally performed in an office setting with frequent interruptions and changes in the workflow/volume depending on the time in the term. May require some outdoor work for CBC events.
Minimum Qualifications:
Associate Degree required
Preferred Qualifications:
Education Degree Equals Associate's Details Equals Two years of experience in a higher education setting; related experience in a fast-paced office environment including answering telephone, PC experience, high volume of face-to-face and telephone customer contact, scanning, and data entry. Must have excellent organizational and interpersonal skills. Must have strong written and oral communication skills with the ability to relate well to students, staff, faculty, and the general public in a friendly, courteous, and professional manner. Colleague experience is preferred; ability to handle multiple projects simultaneously while maintaining flexibility with department demands; detail-oriented and strong work ethic.
