Operations Specialist
We are seeking a motivated and experienced Operations Specialist to join our team. The ideal candidate will have at least one year of experience in Vacation Rental Management, excellent communication skills, and the ability to handle multiple tasks in a fast-paced environment. In this role, you will be responsible for managing various aspects of vacation rental properties, including inspections, check-in and check-out processes, work orders, billing, onboarding properties, and assisting with staffing. As a key member of the Operations team, you will collaborate within the housekeeping, pool and spa, and maintenance division to ensure a smooth operation. Additionally, you will interact with homeowners, vendors, association management, cleaners, maintenance techs, and guests to ensure all policies and procedures are followed and address any issues promptly.
Responsibilities:
- Play an active role in the operation of the housekeeping, pool and spa, and maintenance divisions to ensure efficient property management.
- Monitor and respond to communications from guests, housekeepers, maintenance technicians, and vendors across multiple platforms.
- Create and manage work orders, schedule routes for maintenance technicians, and track billing and invoicing.
- Onboard and offboard properties, and perform daily operational tasks shared among the team.
- Conduct property inspections prior to guest arrivals and ensure smooth check-in and check-out processes.
- Answer phone calls, respond to emails, and prepare weekly reports.
- Collaborate with various departments, vendors, homeowners, and guests to resolve operational issues and maintain high standards of service.
- Ensure company policies and procedures are adhered to and address any guest complaints in a timely manner.
- Support the implementation of programs designed to enhance guest experience and operational efficiency.
- Assist in other areas of the business as needed, including emergency support and on-call duties.
Qualifications:
- 1 years of Vacation Rental Management experience preferred.
- Strong communication, customer service, and teamwork skills.
- Proficient in Microsoft O365 and familiar with vacation rental software such as Breezeway and Streamline.
- Basic knowledge of home repairs (HVAC, plumbing, electrical, TV/Wi-Fi, appliances, pools/spas) preferred.
- Ability to multi-task and navigate multiple software applications.
- Must be able to lift over 20 lbs.
- Availability to work weekends, holidays, and participate in on-call rotation for emergency services.
- High school diploma or equivalent required.
- Valid driver’s license with an acceptable driving record.
- Must have a smartphone for operational applications.
- Pay will be based on experience.
