The Office/Administrative Assistant provides support to the General Manager, Survey Point
Holdings Accounting Department and all employees to ensure work place compliance and
efficient day-to-day operations. This role requires strong organizational skills, attention to detail
and excellent interpersonal skills. It requires the ability to handle a wide range of administrative
and clerical tasks, as well as, the ability to work cohesively with all departments.
Responsibilities:
- Oversee Drug Program: Schedule all pre-employment drug testing, including out of state, keep accurate records of drug tests and information to comply with annual US DOT FAA Management Information System reporting, along with any FAA Drug Audits;
- Maintain organized filing systems; both physical and digital, ensure all records are up to date;
- Renew and track all business related certifications and registrations (including vehicles);
- Renew SAM registration and complete yearly service contract reporting;
- Maintain familiarity with the various Federal, State and non-government invoice and payment tracking systems;
- Manage CHI’s 401K retirement program: Enter new participants and employee’s monthly deferrals, distribute paperwork to comply with regulations. Prepare an end of year census for compliance testing;
- Process all workers comp claims and ensure required information is posted for employee reference. Submit end of year WC information to the Bureau of Labor and compile paperwork necessary to complete the OSHA Form 300/300A;
- Liaison for employees inquiring about benefit’s, paid time off, sick leave, etc.;
- Collect, review and process employee timecards for accuracy and completeness;
- Verify payroll data in the payroll system and ensure timely and accurate processing to SPH Accounting Department;
- Process employee payroll advance requests, including entry of checks into the Wells Fargo management system;
- Maintain confidentiality of payroll and personnel information;
- Compile company credit card reconciliation reports for Managers and submit to SPH Accounting Department;
- Review all flight slips for accuracy and process for invoicing;
- Process all Tour Department invoices;
- Maintain the company checkbook; deposits, wire transfers, in-house checks, etc.;
- Deposit all checks received and track all payments processed through Square and FareHarbor;
- Ensure all employee’s required paperwork is complete and accurate;
- Assist with the onboarding process for new employees by preparing hiring packet and coordinating any necessary training/orientation;
- Track employee per diem for accurate reimbursement;
- Maintain the AT&T & APT ‘Refuel’ tracking spreadsheet for accurate processing and billing;
- Track customer accounts for outstanding payments and discrepancies;
- Coordinate mail distribution, shipping accounts and receiving activities;
- Maintain Fuel Department’s records including daily fuel usage, weekly pricing updates and monthly fuel inventory;
- Ensure Employee Information Pamphlet is up to date;
- Assist the General Manager and SPH Accounting Department with any other jobs or duties as assigned.
Qualifications:
- Excellent verbal and written communication skills;
- Proficient in Google (mail, drive, sheets, etc) & Microsoft Office Suite (Word, Excel, Powerpoint, etc);
- Strong organizational and time-management skills with the ability to prioritize tasks effectively;
- Ability to maintain confidentiality and handle sensitive information with discretion;
- Must be able to read and interpret contracts to ensure accuracy of invoicing;
- Must be able to pass airport security requirements to acquire a Juneau Airport Badge;
- Valid driver license is required and driving record must conform to company standards;
- High School diploma or GED equivalent required. Associate’s degree or higher in business administration or a related field (preferred);
- Pre-employment drug screen is mandatory and the position is subject to random drug and alcohol testing
Compensation & Benefits:
- Full-Time - Year Round;
- After 60-day probationary period for the following benefits are included: Medical, Dental & 401K;
- All full-time employees receive five (5) personal days per year;
- After the first 12 months of full-time employment, employees receive .83 days of vacation per month from their anniversary date until the end of the calendar year
- Hourly Wage starting at $25.00/hr; Rate is DOE
