This is a part-time position with hours ranging from 24-28 hours per week, Monday through Thursday.

Description:

Prepares work to be accomplished by gathering and sorting documents and related information. Pays invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment. Reconcile cash sales with deposits; computing charges and refunds; preparing and mailing invoices; identifying delinquent accounts and insufficient payments.

Responsibilities:

Processing

· Process daily sales deposits by reconciling register reports with actual cash, check and credit card receipts and prepares and posts correct entries to the General Ledger on a daily basis.

· Process accounts payable for bartenders, security, liquor checks, etc.

· Accounts and processes bi-weekly accounts payable checks, matches invoice to check, acquires authorized signatures and processes mailing of APs.

· Assist with deposit drop offs to bank.

Administrative

· Performs administrative duties for Accounting Manager, as needed.

· Collaborates with department supervisors as needed.

· Process and pay vendor invoices, credit card statements, and other expenses.

· Maintain accurate and up-to-date financial records, including invoices, receipts, and bank statements.

· Perform general office administrative tasks, such as answering phones, responding to emails, etc.

Filing

· Maintain daily deposit files.

· Maintains vendor files, accounts receivable files, and contract files.

· Manages annual physical accounting file transfers for record keeping.

· Regularly file away documents, ensuring they are accurately labeled and stored in their designated locations.

· Periodically purge old files that are no longer needed or are past their retention period.

· Ensure that sensitive financial information is kept confidential and only accessible to authorized personnel.

Supplies

· Maintain ordering of office supplies such as paper, ink, and toner.

· Keep track of inventory levels for office supplies and reorder as needed.

Perform other duties as assigned by supervisor in support of the Mission of Coastal Heritage Society.

Qualifications and Requirements:

· High school degree and At least 2 years of experience in Bookkeeping/accounting function.

· Solid understanding of basic bookkeeping and accounting payable/receivable principles.

· Ability to follow standardized practices and/or methods.

· Ability to work with a variety of data.

· Must be organized and detail oriented with a high degree of accuracy.

· Attention to detail, strong communication, and problem solving are all critical skills for success in this role.

· Must be able to work flexible hours including weekends and holidays.

§ Much work of this position is office work, at a desk using a computer, and phone.

§ May require bending, kneeling, pushing, pulling, and lifting/moving objects of up to approximately 10-50 pounds for supplies and other related equipment.

Job Type: Part-time

Pay: $15.00 - $17.00 per hour

Expected hours: 24 – 28 per week
