We are a luxury real estate office seeking a dedicated and dynamic Office Assistant to streamline our administrative processes and ensure smooth day-to-day operations. This role requires someone who is proactive, detail-oriented, and thrives in a fast-paced environment. As part of a high-end real estate team, you will be expected to manage multiple tasks both in and out of the office, ensuring seamless communication and workflow. Weekend availability is essential, with flexible hours, but a commitment to being accessible is non-negotiable.
Key Responsibilities:
- Communicate promptly and effectively via text and email with managers and the owner
- Update property listings and websites with the latest changes and details
- Maintain accurate and up-to-date email databases
- Assist in office reception duties and support property management efforts
- Willingness to obtain a real estate license and represent the company with professionalism
- Present a polished and client-ready appearance
Skills and Qualifications:
- Proficiency in MAC systems
- Strong understanding of office management and organizational procedures
- Exceptional time management skills and attention to detail
- Ability to analyze problems and offer effective solutions
- Excellent written and verbal communication skills
- Familiarity with Canva, Hootsuite, Realtime Rental System, BrightMLS, ZipForms, Photoshop, Final Cut, and/or QuickBooks
Administrative Duties:
- Running office-related errands
- Relaying important messages while the broker is offsite
- Answering and directing calls to agents as necessary
- Managing social media presence and ensuring timely updates
