GENERAL OVERVIEW: The IT Specialist will serve as the primary liaison for third-party IT vendors, managing complex requests and ensuring timely resolutions, implementing best practices, overseeing inventory, and ensuring cybersecurity compliance with HIPAA, FERPA, and contractual obligations. The manages technical projects, conducts annual IT system assessments, analyzing risk reports, and stays updated on emerging security standards ensuring the orgs IT systems meet future and current needs.

Essential Duties and Responsibilities:

· Vendor Liaison: Serve as the primary contact for third-party IT vendors, managing complex requests and ensuring timely and effective resolutions.

· Onboarding and Offboarding: Develop and implement best practices for technical onboarding and offboarding, including comprehensive software setup and deployment for all staff.

· Inventory Management: Maintain hardware and software inventory, track warranties, and manage repairs or replacements for IT equipment.

· Cybersecurity Compliance: Implement robust cybersecurity measures in line with HIPAA, FERPA, and contractual obligations.

· Project Management: Ensure technical projects are delivered on time, within budget, and meet all program and technical requirements.

· System Assessments & Risk Analysis: Conduct annual IT system assessments, analyze monitoring system reports to identify potential risks and recommend best practices and improvements.

· Security Standards: Stay updated on emerging security standards, regulations, and requirements, and assess security risks for new applications and provide leadership with feedback and recommendations for IT improvements.

· Quality Control: Conduct quality control reviews of support tickets to ensure high standards of service.

Secondary Responsibilities:

· Documentation: Document project status and updates regarding milestones and completion.

· Office Support: Assist with office relocations, expansions, and improvements, collaborating with leadership on strategic initiatives.

· Technical Point of Contact: Serve as the onsite technical point of contact for IT special projects across all office locations (Concord 1, Concord 2, Richmond, and Antioch).

· Additional Support: Perform additional tasks as needed to support and achieve business objectives.

Minimum Education & Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education: Bachelor's degree in information technology or related field, or equivalent experience desired.

Practical Experience:

· Must be an excellent team player who can also work independently

· Experience with HIPAA and FERPA compliance and familiarity with regulatory compliance, including federal and state laws and regulations concerning information security and privacy

· Experience in analyzing, implementing, and evaluating IT systems and their specifications

· Sound understanding of computer systems (hardware and software), networks, and website operations

· Excellent organizational and time management skills.

· Meticulous attention to detail and ability to maintain accurate records.

Technical Qualifications or Specialized Certification:

· Experience working with an IT ticketing system

· 2 years troubleshooting Windows PCs; including hardware, operating systems, Microsoft Office, and other common applications.

· 2 years of experience with networking.

Language, Mathematical, and/or Reasoning Ability:

· Excellent customer service, problem solving, written and verbal communication skills

· Ability to develop and manipulate spreadsheets

· Ability to write reports, make policy recommendations

· Ability to utilize analytical/problem solving skills

Other Skills:

· Experience in a nonprofit, healthcare, or educational setting is a plus.

· This position may be considered for a hybrid work option by working part-time in the office and part-time working from home or engaging out in the community.

· The position will be based in Concord, CA, but will require travel to its surrounding offices (Antioch, Richmond, Concord – Detroit location).

· Ability to meet the requirements of daily attendance on the job for full continuous eight-hour days (f/t employee), or depending on your employment status

· Ability to ascend and descend a ladder

· Operating electrical hand tools may be required

· Willingness to work flexible hours including occasional evening and weekend events

· Ability to work under pressure and meet deadlines

· Reliable transportation, valid California driver’s license and insurance
