The Opportunity:
A long-standing family owned business is seeking a highly organized and proactive Executive Assistant to join their team! The Executive Assistant (EA) will provide comprehensive support to the owners of the company and be responsible for calendar management, scheduling meetings, coordinating travel arrangements, professional correspondence, maintaining confidentiality and preparing presentations and legal documentation. To be successful in this role, you must have excellent communication skills, high attention to detail and the ability to handle multiple tasks efficiently in a fast-paced environment.
Responsibilities:
- Provide administrative support to the owners including managing calendars, scheduling meetings and making travel arrangements.
- Coordinate and prepare documents, presentations, and reports as needed.
- Handle correspondence, emails, and phone calls on behalf of the owners, ensuring timely and professional responses.
- Maintain confidential information and files with the utmost discretion.
- Assist with legal document management, including contracts, agreements, and other legal correspondence.
- Act as a liaison between the owners and internal/external stakeholders, maintaining positive relationships and facilitating communication.
- May require after-hour duties (schedule will be adjust if duties are required the night before).
Requirements:
- Proven experience as an Executive Assistant, Executive Administrative Assistant or a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to prioritize tasks and work independently with minimal supervision.
- Discretion and professionalism when handling sensitive information.
- Legal experience or knowledge is preferred.
- Office administration experience is a plus.
- Must have a Valid Driver’s License
- Must be able to lift up to 50lbs, walking and standing, sitting and bending is required.
Salary : $70,000 - $75,000
