Job Summary:
The Property Manager has the full responsibility of directly managing daily oversight and operations at assigned commercial portfolio (office or industrial). This position’s primary function is to streamline necessary property management tasks, maximize asset value, ensure the portfolio is operating in line with the owner’s goals and objectives, and tenant satisfaction. Tasks may also include maintaining property rentals, coordinate with leasing agents for filing vacancies, enforcing leases and securing premises.
Job Functions include:
Manage all aspects of assigned properties related to tenant compliance, unit occupancy, maintenance, construction, emergencies, repairs, upgrades, etc.
Management and communication with all tenants and leasing agents related to occupancy, payment, maintenance, documentation, legal requirements and reporting, etc.
Inspect and coordinate property maintenance to meet standards
Establish and maintain a strong, positive, productive relationship with clients, tenants, vendors, and contractors.
Assist collection of rent on a monthly basis, handle late payments in a timely manner, and prepare monthly financial reports.
Assist collection of receivable accounts, handle operating expenses, and approve invoices as necessary.
Develop and manage annual budget by forecasting requirements, reconciliation and analyzing variances, data and trends for senior management and ownership approval.
Communicate all high level budgetary, property status, maintenance and reports as needed by COFE Property Management, LLC
Oversee properties’ personnel, vendors and contractors, and assess its performance
On-site and available at the assigned property(ies) and COFE meetings as needed

TENANT
Supervise and sign off on Tenant moves (in/out)
Collect and update Tenant file/documentation
Maintain/update a tenant list/contacts/issues
Insurance tracking (certificate from vendors/tracking/renewals)
Address and manage tenant complaints including- work orders, maintenance tracking
Communicate notices/information/updates of maintenance to tenants
Rent payment collection/tracking in participation with Finance
Tenant account adjustments (credits, fines, fees, deposits)
Assist tenant on portal access/use
Tenant non-compliance/eviction/3-day notices
Violations (permits/licenses, etc.)
VENDOR
Maintain a vendor list/contact/insurance requirements
Assist vendors with invoice submission (portal submission)
Monitor vendor work/projects/contracts
Bid/procurement processes
Coordination/scheduling of vendor work
PROPERTY
Vacant unit showings (If leasing unavailable)
Ensure/manage property security
Provide/maintain property/unit access (locks, keys, fobs, codes, alarms)
Parking management/enforcement
Complete regular unit & property inspections
Coordinate building/property maintenance
Resolve emergency property/unit issues
Legal property requirements (fire inspection, elevator inspections)
Legal requirements (to property owners, government, tenants)
Submit and maintain incident reports
Maintain/update property inventory (property mgmt. office and engineer/janitorial)
Maintain Hurricane preparedness/emergency plans for property (security, power, tenant notification, protocols)
Violations (permits/licenses, etc.)
REPORTING
Monthly Manager Report’s (Ongoing Projects, Overall Property Performance)
Budgeting Tracking property expenses (Explaining Variances & Providing Accruals)

Pay: $75,000.00 - $80,000.00 per year
