Overview
We are seeking a highly organized and motivated Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer support and ensuring the smooth operation of our office. The ideal candidate will possess strong time management skills, supporting all team members across the organization, be proficient in Microsoft Office, and have experience in an office atmosphere. Success in this role will be demonstrated by a smooth-running office, serve as a positive influence, efficient operation and coordination with all team members. This is currently a part time position that could grow into a full time position with opportunities to advance further within the office atmosphere.
Responsibilities
- Greet and assist visitors in a friendly and professional manner as you will be at the front door.
- Manage incoming calls, screen calls and direct calls to the appropriate individuals.
- Maintain organized filing systems for documents and records.
- Maintaining documents and updating paperwork when needed.
- Will be responsible for ordering office supplies and staying within budget.
- Help maintain and keep office common areas neat and clean.
- Sorts incoming mail and delivers to appropriate department or individual; process outgoing mail.
- Notifying the shop of incoming deliveries
- Clerical duties include typing and completion of forms, such as credit applications.
- Greet and assist potential new hires, ensuring all documentation is received upon hiring
- Be the gate keeper of the door and not allowing anyone to pass through our office without permission.
- Collaborate with team members to maintain an efficient and positive office environment. We do not deal with any drama at all.
- Requesting documentation from different subcontractors or suppliers for insurance purposes - and documenting that it has been received.
- Trustworthy of any confidential information that may come your way.
- Maintaining and assisting with our uniform program for field employees.
- Perform other administrative tasks as assigned to support office operations mainly assisting the Office Manager and Director of Administration Operations- more to add as the position grows.
Qualifications
- Proficiency in Microsoft Office 365 - Word & Excel knowledge a must
- Previous experience as a receptionist or in a similar administrative role is preferred.
- Strong Language, writing and communication skills (Verbal & Written)
- Strong attention to detail
- Self motivation and trustworthiness
- Excellent client facing, interpersonal communication skills
- Team Player
- Strong time management abilities to prioritize tasks efficiently.
- Bilingual proficiency is a plus, enhancing communication with diverse clients.
- Ability to operate standard office equipment and software.
Job Type: Part-time
Pay: $15.00 - $17.00 per hour
Expected hours: 20 – 25 per week
