Primary Duties & Responsibilities
The selected candidate will be expected to: actively collaborate with internal subject matter experts to develop efficient business processes relating to the collection and review of the various legal and finance inputs, distribute tasks to the appropriate business leaders and decision makers, and ensure that the process is tracked, reviewed and executed in a timely manner. In addition, the Contracts Administrator will take the initiative to develop and manage internal and external processes to ensure smooth transitions throughout the contract lifecycle. This candidate may be called upon to direct the work of other contracts team members and manage all aspects of customer interface if the Product Line Manager is unavailable.
• Develop business processes and ensure compliance thereto for the management of the complete contracting life cycle for external customer sales contracts
• Review and process complete sales packages, including review of all required documents including requests for quotations, statements of work, sales contracts, purchase orders, tax status forms, as well as other supporting documents
• Manage the formal contractual customer interface for all customer requests. Propose and coordinate customer facing project based messaging in coordination with the Project Manager and act as an advocate for the business in contractual negotiations.
• Proactively manage and train other contracts team members to hold internal reviews with business unit leaders, as well as reviews with corporate finance and legal representatives when required to minimize the time from order receipt to submission of the booking package to order administration
• Ensure contract compliance for all business pursuits at the Richmond site (including but not limited to: ISO Standard Operating Procedures, ISO Work Instructions, Federal Acquisition Regulations, Defense Federal Acquisition Regulations and other regulatory requirements)
• Is expected to be the internal expert on A&D contractual requirements/contract types, with advanced knowledge of FAR/DFARS requirements and will be called upon to assist or lead in customer negotiations. Maintains awareness of changes to FAR, DFAR, ITAR, EAR and other applicable government regulations associated with contractual requirements and export controls.
• Define, develop and implement policies and procedures that enable adequate contract controls and services, including contract records management and reporting
• Refer sensitive matters for executive decision-making and use discretion in keeping management informed on a timely basis of key issues impacting business operations
Education & Experience
- Minimum 10 yr. experience in the field of contracting.
- BS/MS or equivalent degree in a relevant field.
Skills
•Subject matter expert of commercial contract law, and Government contracting, including FARs and DFARs
•Demonstrated aptitude for generating positive business outcomes relating to the sales contracting process an organization with a modest volume of contract activity
•Excellent communication skills and solid presentation skills are required
•Must be a motivated leader that is able to help others solve complex issues through motivation, mediation and negotiation
•Must have an unassailable commitment to personal and business integrity and ethics, exquisite attention to detail, and the abilities to prioritize and multi-task
•Proficiency in MS office and other modern information technology applications is required.
Working Conditions
Standard office working conditions, may work remote part time but must be able to come on-site for customer meetings.
