We’re seeking a detail-oriented and dependable Team Operations Manager/Executive Assistant to bring structure to our fast-paced environment. You’ll work closely with our team lead to ensure operations are organized, efficient, and on track.

Duties & Responsibilities
Team Lead Support
- Manage the team lead’s inbox. Prioritize and respond to emails, organize tasks, and ensure important items are followed up on.
- Manage the team lead's calendar, grouping similar tasks to maintain focus, avoiding conflicts, and helping prioritize daily activities.
- Prepare materials for appointments and meetings, ensuring everything needed is ready to go, from documents to presentations. Anticipate potential questions and needs, and proactively gather relevant information.
Team Management Duties
- Handle incoming queries from clients and staff on behalf of team lead. Act as middleman to help the team lead focus on high-level business activities.
- Create and manage all systems for sellers, buyers, client database management, lead generation tracking, lead follow-up and all office administration.
- Manage team projects and solutions to issues list. Manage delegated tasks to ensure project progression.
- Schedule and coordinate team events.
- Manage team budget and help ensure we’re on track to meet our business plan goals.
- Support the development and updating of business operations manuals, job descriptions, and employment contracts for future hires.
- Manage VAs including delegation and tasks management.
- Oversee database management to ensure leads are being connected to agents and process is followed.
- All other duties as assigned.
Required Skills
- Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel).
- Knowledgeable in technology to communicate via computer, smartphone, or text.
- Able to manage time effectively and efficiently.
- Excellent communication and interpersonal skills.
- Strong organizational skills and attention to detail.
Education & Experience
- Associate or Bachelor's degree required.
- Two years previous professional experience.
- Prior experience in real estate, finance or a related field is a plus.
